Microsoft Access sharing issue

I am running a Microsoft Access 2002 database, on a PC, across a Mac OS X network. Everything was working well until we upgraded the server software this weekend. I can access data on the network drive until another user opens the database.  When she is in the database, I get a "can't find the database" message. When she closes I can once again access. Any ideas?

Sure points to a folder permissions issue ... which the exact same scenario came up with a colleague yesterday ... same message.  And it was a permissions issue.  That error message is a manifestation of the issue.

Thanks for the reply. We had changed the permissions to full read - write at the server level. Before doing that, I wasn't able to open the database at all, whether the other user was in it or not.  Changing that enabled me to access it, but we still could not share. Are there any other settings I am missing?

What are the details of the "server software" upgrade?  Are you using FE/BE database or monolithic?

We upgraded MAC OSX server from 10.2.8 to version 10.4.7. The database is monolithic, which probably is what contributed to the problem. The user that seems to be locking it created a new query just before the server was upgraded. Is it possible that somehow the locking related to that caused the problem?  Once this gets resolved, I will figure how to separtate FE and BE, or is that something I should do first?

fwiw ... The first place I start with a new database design is creating a relational model - aka BE.  After that is nailed down, then I start on the user interface (FE).  So inherently, I have it split from the git go. I've been doing that since the inception of Access circa 14 years ago.

Possible yes ... if ... for some reason the mdb was being opened 'exclusively' either because of a property setting and/or manually opening it in exclusive mode.  However, you have the added complexity of the MAC stuff, which I am not familiar with.

Using phrases from both experts above, I searched further on EE to find a post about a bug in Access 200o, which suggested bypassing desktop shortcuts as a solution to the problem that I was having. Eventhough we are running Acess 2002, I tried opening the files from "File - Open" menu and sure enough it works for both me and netwoworked users, where shortcuts still don't work. Does this shed any light on why the problem occurred all of a sudden?

I'm contracting at a large company right now ... with a large WAN.  All users have desktop shortcuts - pointing to the full network path on the server ... with no problems.  So, don't really know why you would have that problem all of a sudden?

The command for the shortcut that wouldn't share after the upgrade is as follows:
"W:\IPS\Results M.mdb"

The following shortcut works fine:
"C:\Program Files\Microsoft Office\Office10\MSACCESS.EXE" "W:\IPS\Results M.mdb"

Is it possible that settings on the upgraded server software no longer allows the more direct path for databases?

Several thoughts:

1. Check the shortcut to see what is in the "start in" box.

2. Double check to make sure you don't have more than one copy of MSACCESS.EXE on your hard drive. The shortcup may be opening the wrong copy.

3. Try deleting the shortcut and create a new one.

The best answer, though is to split the database. This is easilby done.

Make a new blank database called Results_M_Data.mdb on the W: drive. Go to Files:Get External Data and import all the tables (and ONLY tables) from your existing database.  If you have relationships set up on the old database, you will want to recreate these on the new database. This is now your new back end.

To create your new front end, copy your  Results M.mdb from your W: drive to your C: drive. Rename it to NewResults_M.mdb. Delete all the tables in NewResults_M.mdb.

Open C:\NewResult_M.mdb. Go to Files:Get External Data:Link Tables and link to all the tables in the Results_M_Data.mdb database on the W: drive.  Go into Tools:Options:Advanced on the NewResults_M.mdb on your C: drive and set "Default Open Mode" to "Shared" and "Default Record Locking" to "Edited Record". Check the box for "Open Database Using Record Level Locking".

Delete your old shortcut and point your new shortcut to C:\NewResults_M.mdb.

Rename your old W:\IPS\Results M.mdb file to W:\IPS\Results M.md_ so that no one will accidentally use it anymore. Keep it as a backup until you are satisfied the new version is working properly.

Copy the C:\NewResults_M.mdb database to the C: drive of all computer that will need to use it. In each case, open it on that computer and check the settings in Tools:Option:Advanced, as these settings do not necessarily travel with the database when it is moved and will have to be reset. Make new shortcuts on each client machine to C:\NewResults_M.mdb.
