Do you have any kind of file cleanup utility software running that may be deleting these files?  I run Crystal Reports Server on my laptop and found that a utility I (Ace Utilities) deletes files from the FRS.  I had to add the Business Objects FRS path to the list of files to ignore for this behavior to stop.

Other possibilities:

1)  You have a corrupt CMS database
2)  Users have inadvertently deleted files

On it's own, CE doesn't delete these files, so there has to be something else causing this behavior.

Thanks for replying Kurt ..

**I dont think I have a corrupt CMS bcoz out of 60 jobs 50 of them or more run fine and no problem getting the histories  from any date..Having said that do yo still think I have a corrupt CMS?
pls let me know..(**)

1.about these utilities the admin of the server will check, really he has been checking.

2.For sure nobody is deleting files nbody has access except the system admin, oracle admin and me the crystal admin.

3.I have  another question i think  I  know the answer..let me know if I am right..The limits on folders is really for output instances getting stored as history..(is that right?).I have no limits set on anything..or any folder..

You may have corrupt records in the CMS database, which would cause certain reports to either be unavailable or not work.  This may or may not be the case.

You say nobody has been deleting the files - is there the possibility that reports are being modified in Crystal Reports from the Enterprise folder and are being saved back/failed to save back to the Enterprise Folders?

The limits are specifically for output instances, not actual report objects.

Also, do you have any other issues on the machine?  Are you running out of space?

Ans:well this is how it got started one morning reports from daily folder in CE were missing..we stored it from back up THEN  after 2 weeks reports from territory folder were missing ...so its random .
Once in a while from random locations source reports are vanishing.so its very spooky..it's like once in a while some one is stealing something..

You say nobody has been deleting the files - is there the possibility that reports are being modified in Crystal Reports from the Enterprise folder and are being saved back/failed to save back to the Enterprise Folders?

Ans:We are not changing reports at random.Last year around July we were but no more..

Also, do you have any other issues on the machine?  Are you running out of space?

Ans:No issues as such on the machine..

SO WHAT DO YOU THINKIS THE DEAL...IS IT A UTILITY OR IS  IT CMS..
IF CMS..IS CORRUPT IT CAN DELETE ITS OWN RECORDS..wow its like i am a bad table I will delete my own records..

Sorry for so many questions..as you can see...I am trying to hot something dark in the dark and I really need your help..Thanks for all the previous answers.

I am a bit confused as to where the problem might be here.

When you add a report to CE, it places a physical copy of the report file in the input repository and creates a database entry in the CMS.

You first indicated that the report files were just missing from the input file repository causing errors when you tried to run the report, but your last answer

"Ans:well this is how it got started one morning reports from daily folder in CE were missing..we stored it from back up THEN  after 2 weeks reports from territory folder were missing ...so its random ."

would appear to indicate that the entries are missing from the CMS database (possibly as well as the input file repository?)

Are you actually getting errors if so what is the error message, otherwise if it is just that reports are missing from the folder is it possible that someone is deleting/moving things around inside CE?
