Question

crystal reports export to text file

Asked by: baldwin_it

I have a Crystal report that I have created to export data that we can send to our imaging company and I am having trouble getting it to work correctly.  When i run the report it looks just like I want it.  Then I try to export it.  I select File/Export/Export Report from the menu.  Then I select Text(TXT) as the format and hit OK.  I have my characters per inch set at 10 and my Number of lines per page set at 75 and then hit OK.  I tell it where to save and everything seems to export ok.  When I open the text file at first glance it is ok, but when i look at the data I see things like my Page footer totals that should show at the end of each order are not always there.  Sometimes they are on the first page of an order.  Also the page numbers are not correct.  I have the page number start over on each order so it will show page 1 on the first page of a new order and on the screen it looks fine, but after exporting it is wrong.  Most of the time a new order will start with page 2 instead of page 1.  Also some of the page numbers are repeated.  Example:  I may see a page 1,2,3.. then 5,6,6,7,8...  This also makes no sense as on the screen it again looks just fine.  I am not sure what to do about this.  I have tried changing many different options and none of them seem to do anything.  When I try exporting to a RTF this works just fine and the data is all there and page numbers are correct.  What could I possibly be doing wrong?  Oh, btw I have Crystal v11.

It seems like the "lines per page" that you are choosing is not set right. I believe the 66 is the MAX....for a portrait type of page setup.

Have you tried 66 lines....?

FWIW - I tried reproducing your issue with 75 lines and 10 chars per inch and was unable to reproduce any skewed page numbering.  I'm using CR XI with the "page number" special field in the page footer, exporting to a TXT file.  Maybe if you upload your rpt template, I can see if there are any differences...

Here is the Crystal report I am working with.  I had to rename it so I could upload it as experts-exchage would not allow me to upload the .rpt file so just remove the .txt extention and it should open just fine in Crystal IX.  One thought I had is could it be the subreport causing the issue with the export?

The subreport could be a factor.  It's hard to say, because I can't see the output from your report.  You included saved data, but CR 10 discards it because "one or more formulas failed to compile".  The problem is presumably the BarcodeC39 function used in several formulas.  I don't have that function.  I don't know if it's included with later versions of CR, or is a separate addon that you have to get somewhere else.

Given that BarcodeC39 function, I have to ask.  If it does the obvious and produces a bar code, how is that supposed to be represented in an export to a text file?  Doesn't seem like it would work very well, unless the export just output the characters that you would see under the bar code.  If that's what happens then maybe it's not an issue.  But if it tries to actually export the bar code, I don't know what you'd get.

Also, if the text export only outputs the characters that would be under the bar code, that would presumably result in a much shorter field than the full bar code, which might affect line spacing and alignment and that kind of thing, but that's really just a shot in the dark.

If no one here has that BarcodeC39 function, you may have to remove or change those formulas before anyone else can see your data, but that may change the report so much that there's no point in us seeing it like that.  If nothing else though, it might be interesting to remove the bar codes (eg. change the formulas to just output simple strings) and see if the export is any better.

I have removed the sub-report and that did not make any difference.  The BarCode39 function creates the text adding the beginning and ending charachters for the barcode.  For example if my filed is 1234567890 then the underlying text would be *1234567890* anf that is what is getting in the output text file.  I have changed the font in the field so that it only get the charachters, not the barcode, and this has made not difference.  I will say that I did not save any data in report as it would contain customer data and we can't do that.

As far as I know BarCode39 is tied to the font used and it is not part of Crystal.  Most barcode fonts require special formulas for Crystal to produce them correctly.

WHat font and size are you using?

> I will say that I did not save any data in report as it

I don't know if there is actually any saved data in the report you posted, but when I open it, I get an error saying "The saved data will be discarded since one or more formulas failed to compile", and the "Save Data with Report" option (under File) is checked.  Having said that, when I skimmed through the RPT file with a hex editor, I didn't see any recognizable data, so there may not be any real data saved in the report, despite the option being turned on.

As for your export problem, I really don't know what to think without seeing the output from the report, which may not be possible.  Like mlmcc, I don't do much exporting to text, and what I do is normally simple stuff with just detail lines (no page headings, etc.).  IOW, a "data" export, rather than trying to recreate a report in text form.

This may just be a limitation of the text export.  If you can't get the text export to work, one possibility might be to export the report to another format that does work (eg. RTF) and then use something else to convert that to text.

I am going to close this and give you the points as this response is what we have decided to do.  I was able to find another way to print the report and then take that print job and export it to text to get what I need.  So in essense you came up with the same work around that we came up with.

Sorry that we couldn't come up with a better solution for you, but there are some things that CR just doesn't handle well, and this seems to be one of them.
