Question

SSRS/SQR How to create footers based on list contents

Asked by: davehunt00

I'm a new SQL Reporting user and could use some guidance.

Here is a simple explanation of my application: imagine a report which prints out a grade report for each of 10 students. Depending on how many notes a teacher makes on the student's individual grade report, each student's report might be 1 or 2 pages long.

To create this report I just used a List report item and laid out a typical grade report and filled in the appropriate fields (name, teacher, etc.) from my dataset query.

When I run the report, it is running great and the students and their grade reports all print out.

The problem I am running into is I want to make sure each student's name is on page 2 if the grade report for that student goes more than 1 page (so pages aren't separated from each other or mixed up). I tried using a Report Footer, but that just put the first student's name at the bottom of every page.  I could put a textfield at the bottom the list control but that would just appear at whatever length page 2 ended up being (basically you could have a "footer" at mid-page if the whole list only took up 1.5 pages).

How can I create a footer for each set of pages or each list or that changes based on the contents of the current list? Basically this would be a "footer" to the list control itself.

I'm also completely open to other suggestions on formatting the report to achieve the same result.

Thanks in advance!
Dave

In Report Designer, page headers and footers are displayed on the first and last page of a report by default. You can suppress page headers and footers on the first and last page of the report. To change this setting, change the PrintOnFirstPage or PrintOnLastPage property for the header or footer.

In Layout view, click the page header or page footer.

In the Properties window, for the PrintonFirstPage  select False.

Thanks, but not really what I'm looking for. Report page headers/footers are pretty straightforward.

What I'm trying to achieve is really more a group footer where each "form" or "mini-report" has it's appropriate student name footer.

It sound like each student is a 'group' - is this correct? If so, you're probably wanting to use the group header/footer options rather than those for the entire report... Here's basically what you might want to think about  - these instructions refer to screens for v2005 (and you can see all of these options if you <right click> in the table group section or the main data row and choose to <edit group> from there, you should be presented with some check boxes like:
Include Group Footer = which can then allow you to add the value to display the student's name into one of the boxes (and of course you can choose to 'merge' various column cells if the cell you chose is not already wide enough to accomodate the length of the student's name)
Repeat Group Footer = so that this same Group Footer section will appear on every page, and
Page Break at End = probably want this one as well since I'm assuming that you wnat a page break at the end of each student/grouping, correct?
Hope that does it! Best wishes, Pat
