I am using Outlook 2007, Microsoft CRM 3.0, and a Blackberry Enterprise Server 4.0.
I've brought this question up before but want to get some more ideas. I am being asked to find a way to bring ALL CRM contacts into a user's Outlook so they are all in one place in his Outlook, and to sync them with his blackberry. The requirements are that any new contact in CRM will automatically flow to the user's Outlook contacts and any changes or deactivations of contacts will reflect as well. This user already has his Blackberry Desktop Manager setup to sync his main Contact folder so this will appear in his blackberry when he sync's. I set up the Local Data options in the Integration app to bring over "ALL" contacts, not just ones he owns. Currently, in our organization, this number is over 11,000.
Anyone with experience doing this, or has some knowledge about the relationship between the CRM/Outlook integration app I'd love to hear from because I have some concerns:
-What happens if he tries (accidentally or otherwise) to delete a contact he doesnt own in Outlook, or accidentally delete it in Outlook. In CRM, i know he wouldn't be able to delete it because of the security rights set up, but what happens when he edits it in Outlook? I just dont want anything from the end user's sync'ed contacts to in any way mess up/delete/change the contact in CRM. Most of our users have rights to edit all contacts really, so I understand that if he opens it in Outlook/BBerry and makes a change that will reflect. But i think its much easier to accidentally delete a contact than to edit a field accidentally in it, so thats my concern.
This seems like a simple thing to do - Two microsoft products, one set of CRM contacts, but there isn't a lot of information out there. Looking for some best practices or other people's experience in getting this rather Herculean task completed and done with the paramaters imposed on me.
For now we are only doing this with one or two executive level users who are relatively savvy enough not to make these mistakes, but I want to make sure that if we roll this solution out, we cover our bases.
