The Solution Rating System

With so many solutions, how can you tell which solutions are most likely to help you and which ones are not? To provide you with a tool to use, we rate our solutions based on various elements that most accurately determine if a solution is a quality solution. To explain what factors affect the solution rating, here are the elements we take into consideration when formulating our solution rating.

  • The Grade of the Solution
  • The Zone Rank of the Expert Providing the Solution
  • The Number of Author and Expert Comments
  • The Number of Experts Contributing
  • The Feedback of the Community

Your Input Matters
Because of the way the system is set up, the most important variable in this equation is you. As a member of Experts Exchange, you are able to cast your vote on the quality of the solutions in regard to how complete, accurate, helpful and easy to understand each solution is. When you provide your feedback, each rating is adjusted accordingly. So, if you see a solution that has a poor rating that you think is a good solution, let us know by rating it. As you do, the rating will be adjusted and will become more accurate for other members of our site.

If you have any suggestions that you would like to make for our rating system, please ask a question in the Suggestions Zone of Community Support.

Thank you!

Save Button - Undo Null Subform Record
Tags: Microsoft, Access, 2007
I have a command button intended to save the record and subform records on a form.

The subform has code in the before update event that test for null values and prevents the user from proceeding to another field until the errot test is passed.  The problem arises if the user begins to enter data, deletes the data, and then decides to save the form.  The save is not allowed because there are null values in the last record of the subform.  I need to undo the last record if there are null values and the users wishes to save.

To undo the current record, you can use in code:

Me.Undo
Here is the generic ideal:

Private Sub Form_BeforeUpdate(Cancel As Integer)

If <code for validation here passes> Then
 ' validation passed
Else
  Msgbox "Not passed"
  Cancel = True
  Me.Undo
End If

Would this ever be a scenario:
   They enter data in the subform (with no nulls)
   Move to another record in the subform or somewhere in the main form
   Then go back to the subform and delete that field that you don't want null

If so, then a Me.Undo will just 'un-blank' that item they wanted blank instead of deleting the record.  Is this what you want to happen?

If so, then just deleting a record when the field turns null may not be 'safe' unless you gave them a message box like "This field can not be null.  Do you want to delete the entire record?".  Otherwise the record may be deleted because they accidently moved to another record after deleting a field value (but they had the intention of putting in another value)

The subform contains three fields.  In the Before Update event of the subform, I have code that test each field individually for null values and then provides the appropriate message box.

UniqueData - It is very possible that the user will go back to a previous record and delete a field.  However, the user will be unable to proceed to any other record without entering a valid entry in any of the null fields.

I think the best solution may be to give the user the option to delete the entire record as you have suggested.

What code would you suggest to delete the record?

"I think the best solution may be to give the user the option to delete the entire record as you have suggested."

Be SURE that fits in with the business rules of the project.  Deleting is not always appropriate for historical reasons, for example.

Also, have you considered make those fields required at the table level?

DatabaseMX - I originally made the fields required at the table level, but in order to avoid the default error messages, I chose remove the table level requirements and test for required fields at the form level instead.  Testing on the form allowed me to provide custom message boxes without any error trapping code.

In regards to business rules...Deleting the record is not a problem for this particular project.  The only time a record will typically need to be deleted is if the user accidentally entered information.

Thank you for your concern.

"I originally made the fields required at the table level, but in order to avoid the default error messages, I"

You can easily trap required field error in the Form Error event - that is where they occur, and with less code than in the Before Update event ... and even more generic. If they are required on the form in order to create or edit a record, then really, they s/b required at the table level also.

I agree that error trapping is the ideal method, but at the time of development, my knowledge was very limited.  When time allows, I will definitely implement error trapping and require fields as the table level.

Regardless of where the validation of required fields takes place (form or table), I assume that I will still need to incorporate code to delete the record if the user accidentally entered information.

You basically need these four pieces to implement deleting a record:

Button on form to Delete:
Private Sub cmdDelete_Click()
    DoCmd.RunCommand acDeleteRecord  ' This will trigger the Form_Delete event below.
End Sub

This code in the following three Form events:

Private Sub Form_Delete(Cancel As Integer)
    Beep
    'This message or something similar
    If MsgBox(""Are you SURE you want to DELETE this record?." & Chr(13) & "This operation cannot be undone", 292, "Delete Record") <> vbYes Then
        Cancel = True
    End If
End Sub

Private Sub Form_BeforeDelConfirm(Cancel As Integer, Response As Integer)
  Response = acDataErrContinue
End Sub

Private Sub Form_AfterDelConfirm(Status As Integer)
    Me.Requery
    DoEvents
End Sub
