Question

How to reference a sub-report within a report

Asked by: lin100

Below are CASE #1 and CASE #2. CASE #1 does work since I know how to reference
a subform within a main form such as SubForm_Search_3.Form!Total_Payout.
The field name field name Second_Half_Other_Payout does have a value.

CASE #1

FORM NAME: F_Bonus_Incentive
SUBFORM NAME: SubForm_Search_3
SUBFORM NAME: SubForm_Search_4

Field Name: Second_Half_Other_Payout
Tab Name: Data
ControlSource:=SubForm_Search_3.Form!Total_Payout+[Other_Payout_Jan-June]+
SubForm_Search_4.Form!Total_Payout+[Other_Payout_July-Dec]+[Other_Payout_Jan-Dec]

////////////////////////////////////////////////////////////////////////////////////////////////////////////////
CASE #2 does not work. I have two sub report within a main report and I am trying to reference
it just like CASE #1.

R_Bonus_Incentive_First_Half.Report!Total_Payout1 <<--- DOES NOT WORK
Report!R_Bonus_Incentive_First_Half <<--- DOES NOT WORK

The field name Total_Payout2 does not have a value but an error.

REPORT NAME: R_Bonus_Incentive
SUB-REPORT NAME: R_Bonus_Incentive_First_Half
SUB-REPORT NAME: R_Bonus_Incentive_Second_Half

Field Name: Total_Payout2
Tab Name: Data
ControlSource:=Report!R_Bonus_Incentive_First_Half!Total_Payout1+
Report!R_Bonus_Incentive_Second_Half!Total_Payout+
[Other_Payout_Jan-June]+[Other_Payout_July-Dec]+[Other_Payout_Jan-Dec]

Just a quick guess here,

Try wrapping the values in the NZ() function, in case some values are empty (Null)

For example:
ControlSource:=NZ(Report!R_Bonus_Incentive_First_Half!Total_Payout1)+NZ(Report!R_Bonus_Incentive_Second_Half!Total_Payout)+NZ([Other_Payout_Jan-June])+NZ([Other_Payout_July-Dec])+NZ([Other_Payout_Jan-Dec])

"R_Bonus_Incentive_First_Half.Report!Total_Payout1 <<--- DOES NOT WORK"

Any error messaage?

by: lin100Posted on 2008-12-09 at 10:40:10ID: 23131904

Hi hnasr. I tried five different ways, but none of them work.
1)
ControlSource=[Other_Payout_Jan-Dec]+R_Bonus_Incentive_First_Half.Report!Total_Payout1
        Result:  It prompt to input a value when the report is opened and  #Name?appear on the field,.
2))/////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////
ControlSource=[Other_Payout_Jan-Dec]+Reports!R_Bonus_Incentive_1!
                         R_Bonus_Incentive_First_Half.Report!Total_Payout1
        Result:  It prompt to input a value when the report is opened and #Name? appear on the field.
3))/////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////
ControlSource=[Other_Payout_Jan-Dec]+Reports!R_Bonus_Incentive_1!
                         R_Bonus_Incentive_First_Half!Total_Payout1
        Result:  It prompt to input a value when the report is opened and  #Error appear on the field.
4)/////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////
ControlSource=[Other_Payout_Jan-Dec]+R_Bonus_Incentive_First_Half!Total_Payout1
        Result:  It prompt to input a value when the report is opened and #Error appear on the field.
5))/////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////////
ControlSource=[Other_Payout_Jan-Dec]+Reports!R_Bonus_Incentive_First_Half!Total_Payout1
       Result:   It prompt to input a value when the report is opened and #Name? appear on the field.

Hi boag2000. I will try your suggestion later, but I do not think issue is with null and blank on a field to where I have to use the NZ function. All of the numeric fields on the report has a numeric value. There is no empty field. Some field has a zero (0), while others have number greater than zero.

by: hnasrPosted on 2008-12-09 at 17:15:52ID: 23135532

I see you are using expressions, with + operator.
Try each part of the expression and check which part is producing the error!

I did use the NZ function and a dialog box prompt me to put in the value for
R_Bonus_Incentive_First_Half. When I clicked the OK button the report opened,
and the field Total_Payout2  has the value    #Name?   in the text box.
     The   NZ(Reports!R_Bonus_Incentive!R_Bonus_Incentive_First_Half.Report!Total_Payout1)
     does not work. The NZ function has no relevant here.

Access think that R_Bonus_Incentive_First_Half is a parameter when in fact it is a subform
within a main form named "R_Bonus_Incentive".
////////////////////////////////////////////////////////////////////////////////
Sub Report Name : R_Bonus_Incentive_First_Half
Field Name: Total_Payout1
ControlSource: =Sum([Payout_Value])
Location of Field Total_Payout1: Report Footer
////////////////////////////////////////////////////////////////////////////////
Main Report Name: R_Bonus_Incentive
Field Name: Total_Payout2
ControlSource: =NZ(Reports!R_Bonus_Incentive!R_Bonus_Incentive_First_Half.Report!Total_Payout1)
Location of Field Total_Payout2: Detail Section

I am attaching a small access database that have the problem above.
Open a report named R_Bonus_Incentive.
The field Total_Payout2 is the problem.

by: hnasrPosted on 2008-12-11 at 13:32:18ID: 23152567

Modify the control source to:

=[Reports]![R_Bonus_Incentive]![Employee_Payout_First_Half].[Report]![Total_Payout1]+[Other_Payout_Jan-June]+[Other_Payout_July-Dec]+[Other_Payout_Jan-Dec]

Good luck!

by: lin100Posted on 2008-12-11 at 14:09:00ID: 23152932

Hi hnasr. I did figured out that the name of the subreport that I used
was R_Bonus_Incentive_First_Half when in fact the name was Employee_Payout_First_Half.
Just when I solved the problem, you gave me the correct answer.
you will get an A anyway. :)
