Question

Calculation problems with summary fields

Asked by: patrickmiller

Access 2007
I have a several fields I am working with on a report.
Detail field name  Extended  =[CompCost]*[bmqty]
Group  level 1 totals field name is  CompCostsum and control source is =Sum([CompCost]*[bmqty])
Group level 2 total   field name is Sum extended and control source is =Sum([CompCost]*[bmqty])

These all work fine.  Here is my problem.
Group  level 1 total field total_det and control source is =([CompCostsum]*[bmmmup_hold])   This works fine
Group level 2 total   field name is total_final and control source is =Sum([total_det])
When I run the report I get prompted to enter {total_det} and I don't get a summary for the total_det field.  I have tried using this in the group 2 summary with same result, except it ask for CompCostsum instead of total_det.         This field is only calculate at Level 1 and I need to sum it to Level 2 for a summary extension.  What do I need to do?

Group level 2 total field total_finals control source should be
=SUM([CompCostsum]*[bmmmup_hold])
If I understand you correctly.

if the tot_det field is the result of a sum calcualted in some other area and you want a "sum of the sums", you may want to try =SUM(SumOftotal_det). If you used autoSum in a query to create the total_det field it would automatically change the field name to 'SumOftotal_det'.

Hi Patrick,

I am pretty sure Tryqve is right.  If you look at your first two control source entries fro "Group 1" they are exactly the same.  This works because the SUM command in a report will sum all the entries in that group or level of the report.

So as mentioned in the post above use =SUM([CompCostsum]*[bmmmup_hold]) as the control source for "Group 2"

However if you want a grand total across the whole report as your field name "total_final " suggests, you will again use the same formular but place the field in the report footer.  This will give you a total of all entried in the entire report.

Hope this makes sense and I ahve not made a prat of myself!

Mark.

Tryqve and others,
I have tried your suggestion:
=SUM([CompCostsum]*[bmmmup_hold]) I place this in the control source of the Group 2 field (with the name "total_final" and when I try to run the report it comes up and shows "enter Parameter Value" Compcostsum.

Why am I getting this error?   Why is ComCostsum available (it was also created in the Group 1 level) for the Group 1 calculation and then when I use the CompCostsum or "total_det" not available when I need it at the Group 2 level?

I have tried putting it in the report total section and I get the same result.

I have never used the Autosum feature so I am not sure how to try it.

Sorry Patrick,

Have just re-read your original post, try

=SUM([Sum extended]*[bmmmup_hold])

You are referring back to the origianl fields in the first paragraph of you question.

Hope this helps. If not let me know and I'll try again.

Mark.

Sum([Sum extended]*[bmmmup_hold]) doesn't work and wouldn't create the correct total anyway.

Maybe I am making it confusing.
Detail field name  "Extended" with this in the control field  =[CompCost]*[bmqty]  This works fine

Group  level 1  fields
"CompCostsum" and control source is =Sum([CompCost]*[bmqty])      This works fine
"total_det" and control source is   =([CompCostsum]*[bmmmup_hold])    This works fine

Group level 2 fields
"Sum extended"  and control source is =Sum([CompCost]*[bmqty])     This works fine
"total_final" with this in the control field =Sum([total_det])   This doesn't work
    or
"total_final" with in the control source field"=SUM([CompCostsum]*[bmmmup_hold])   This doesn't work either

On both "total_final" calculations above, I get prompted to "Enter Parameter" for either "total_det" or "CompCostsum"
It acts like the "total_det" or "CompCostsum" are not usable in the Group 2 level

Hi Patrick,

I have built a similar report (I think!) based on your comments and I might have it.

Try

=(Sum([CompCost]*[bmqty]))*[bmmmup_hold])

Hopefully this will work.

Mark.

That worked.   What causes the other not to work?

Hi Partick,

It is a bit of a strange Access thing.  Although you have defined a name and a content for the field in group1 it cannot be referenced in group2.

This is bcause in the group footer for group1 and group2 you are working on all the detailed record entries for the respective groups.

I have just read that backand it does not make sense!

Anyway to show sum totals in a group or report footer you need to refer right back to the original fields you want to total, or refer to a field you have designed in that specific footer section.

I am bableing so will stop!

Hope I have not confused the issue for you.

Mark.
