The Solution Rating System

With so many solutions, how can you tell which solutions are most likely to help you and which ones are not? To provide you with a tool to use, we rate our solutions based on various elements that most accurately determine if a solution is a quality solution. To explain what factors affect the solution rating, here are the elements we take into consideration when formulating our solution rating.

  • The Grade of the Solution
  • The Zone Rank of the Expert Providing the Solution
  • The Number of Author and Expert Comments
  • The Number of Experts Contributing
  • The Feedback of the Community

Your Input Matters
Because of the way the system is set up, the most important variable in this equation is you. As a member of Experts Exchange, you are able to cast your vote on the quality of the solutions in regard to how complete, accurate, helpful and easy to understand each solution is. When you provide your feedback, each rating is adjusted accordingly. So, if you see a solution that has a poor rating that you think is a good solution, let us know by rating it. As you do, the rating will be adjusted and will become more accurate for other members of our site.

If you have any suggestions that you would like to make for our rating system, please ask a question in the Suggestions Zone of Community Support.

Thank you!

Automatic Email Pending Due Date
Tags: Microsoft, Access, 2007
I have built a simple MS Access program to manage bids/quotes.  Every bid has a due date.  I would like to somehow automate an email process that alerts the necessary individual when a bid is due.  Basically, the email would include the bid information and I assume would be an access report?  I have a table with the managers and their email addresses.   I also have a query the returns all bids due in the next 4 days.

Assuming you have the following:

qryBidsDue, which has the data for bids coming due
tblManagers, with personal info on the managers...

Sub SendDueEmails()

    Dim BidsRs As DAO.Recordset, MgrRs As DAO.Recordset
    Dim olApp As Object, olMsg As Object

    Set olApp = CreateObject("Outlook.Application")

    Set BidsRs = CurrentDb.OpenRecordset("qryBidsDue")
    Do Until BidsRs.EOF
        Set MgrRs = CurrentDb.OpenRecordset("SELECT * FROM tblManagers " & _
            "WHERE MgrID = " & BidsRs!MgrID
        Set olMsg = olApp.CreateItem(0)
        With olMsg
            .Subject = "Bid due " & Format(BidsRs!DueDate, "d mmm yyyy") & _
                " for " & BidsRs!ProjName
            .To = MgrRs!EmailAddr
            .Body = "Dear " & MgrRs!FName & "," & vbCrLf & vbCrLf & _
                "This is a reminder that the bid for " & BidsRs!ProjName & _
                " is due no later than close of business, " & BidsRs!DueDate
            .Send
            MgrRs.Close
        End With
        BidsRs.MoveNext
    Loop

    BidsRs.Close

    Set BidsRs = Nothing
    Set MgrRs = Nothing
    Set olMsg = Nothing
    Set olApp = Nothing

    MsgBox "Done"

End Sub

alliedtech,

BTW, an Outlook security measure implemened starting in Outlook 2000 SP2, and persisting
at least through 2002 and 2003 may get invoked when you run the code I posted.

To disable it, I've used three products:

1) Express ClickYes
http://www.contextmagic.com/express-clickyes/
There is a free version and a Pro version for ~$30 with more features.  I've used the pro version.
It works as advertised.  I'm not using it currently.  I'm using the MAPILab product instead.

2) MAPILab Advanced Outlook Security
http://www.mapilab.com/outlook/security/
A free COM add-in for Outlook.  I am using it now and I like it

3) Redemption
http://www.dimastr.com/redemption/
A DLL you can use in your code to disable the warnings.  Free download, but you must pay a
license to distribute.  I've used it and like it.

Also, bear in mind that you will need to modify the recordset fields to match what you really have...

Regards,

Patrick

Patrick - Excellent information.  This may be a stupid question, but.....Does the above code need to be placed behind a command button or does this need to be in a separate module?  I would prefer if the procedure is automatically fired at set time each day if possible.  I have adjusted your code to accomadate my object names, but I am not quite sure what to do in order to execute the procedure.  Thanks again.

Update:  The code works behind a command button.  I would like to improve on that functionality by having the system automatically check for bids that are due, and then if bids are returned by the query, send the email to the respective bid managers.  Obviously, If no bids are due, no emails would be sent.

alliedtech,

If I'm not mistaken, I believe I've answered your original question.  Do you agree?
