thanks for pointing in the right direction. upon reading the documents i notice that they reference a boot server application. where do i get boot server application? is this specific to polycom phones?

different phones will have different policies and requirements. Some of the polycom phones you can actually bypass a lot of the boot server requirements, they exist to make mass deployment and automatic configuration changes easier.
two things you would need to do. get the boot server scripts and create the configuration files on your server
in the phones (or via DHCP options) point the phones at the boot server.
create a support account with polycom and if your vendor hasn't done so already, register and activate the phones with polycom for support.
then, depending on what types of phones you have, go in, download the software ahd bootroms, the guides will help some in setting up the configuration servers. for example if you have SoundPoint 601 IP phones you can look at http://www.polycom.com/usa

Have you tried the Setup and Maintenance documents on the Polycom website, they explain everything.
