Question

How to delete items in Sharepoint Services 3.0

Asked by: maharlika

I just put Sharepoint 3.0 Services on a server.  I created a bunch of test items (files, calendars, workgroups, alerts, etc) and now I want to delete them, but I don't see how to do this.  Some things like a calendar, I don't see anywhere to delete, others like files and contacts make you choose each one individually and delete them, but I don't know how to delete them all.

There's different ways you can do this.

If you want to delete the entire list/calender/doc library/etc. you can go into the list, click settings > list settings and there will be an option to "delete this list"

If you want to bulk delete just the items in the list go to the list, click actions > open in windows explorer and delete them just like you would in a file folder system (or also use the "edit in datasheet view" and highlight all the rows and delete).

Alerts.....  From the site go to site actions > site settings > user alerts (under site administration) and select the user id then check off the alert and delete selected alerts.

Oh I forgot the groups, go into the group, click settings > group settings > delete

On the top of the left Navigation menu you should see View All Site Content.  Click there to get a listing of all the Lists and Libraries in your site.

To delete a list\library click on the list, then click on Settings -> List\DocumentLibrary Settings from the toolbar.  Under Permissions and Management you will see: Delete this list.

To remove multiple items from a document library, change to view to "Explorer View" and then you will be able to select multiple files and delete them.

To remove multiple items from a list, you can create a Datasheet view:  in the List Settings, on the very bottom under views click Create View and then select Datasheet view....

Also, depending on the version of WSS\MOSS that you have installed, you can click on Site Actions -> Manage Content and Structure (http://your_site_url/_layouts/sitemanager.aspx) and click on the list\library and delete from there.

I don't see these options at all.  When I go to the list and hit "actions", it gives the following 4 options: (1) Connect to client (2) export to spreadsheet, (3)view rss feed, (4) alert me.  None of these give me an option to open or view in windows explorer.  How do I do that?

I'm surprised to read that you don't have those actions.... I can't say I've ever heard of those not being available on a sharepoint site.  I'll have to research that one....

In the meantime, can you create a network place to the site?  enter the url of your site (i.e. http://server)  when creating your network place.  You should be able to access a folder structure of the site from there.

So far this is what I found regarding the windows explorer view not being an option:

if some user's don't see open with windows explorer.. it's because they either didn't download the dll that allows client intergration.. (usually an active X) pop up when you very first come to a sharePoint site. OR the user is using an older version if IE.. have them upgrade to IE 7.. which allows client intergration.. and windows explorer view.

maharlika,

It sounds like you might not have "Full Control" rights on your sharepoint site.  Also, make sure you are using Microsoft Internet Explorer as a lot of sharepoint features don't work properly on other browsers.

I'm using IE 7, logged in as the sharepoint and domain administrator with full rights to everything.

you said: "To remove multiple items from a document library, change to view to "Explorer View" and then you will be able to select multiple files and delete them."

How do I change to view to "explorer view", as I don't see this option anywhere in sharepoint.

In the top right of the document library you should see "Views"

Also you should be able to get  Manage Content and Structure screen by clicking

Site Actions ->  Site Settings -> Content and structure

then select the list\library on left.  Choose on right the files\items to delete and delete by clicking actions -> delete
