Cannot send email with Exchange 2003

I just installed Exchange 2003 and tried to send an email with Outlook 2003.  It left my outbox but never arrived at my gmail account, where I sent it.  I have not set up my mx record yet but the last time I setup Exchange (ver 2000) I was able to send email right away but not receive.  Sending and receiving internal email is no problem.  My Exchange server is running on a win 2003 member server.  I am able to connect to the internet just fine.  Any ideas??

Check your Message Tracking Centre within Exchange and see if you can find out what happened, and if at all the email has left the Exchange server.

In addition to checking message tracking, try another address.  Gmail may just have blocked you.  

Did you set up reverse DNS?  What about an SPF record?  The reverse DNS is typically required by some of the larger free mail providers.  SPF not so much, but it does often help.

Gmail are very picky. If you are trying to send email by DNS then there is a good chance that it hasn't been received. If you haven't got DNS configured for the server then you should setup an SMTP Connector to send email through your ISPs SMTP Server.

OK, I do have dns running on my DC.  I just created a reverse lookup zone.  I found nothing on the exch srv in message tracking.

Hold the Bus guys!  I just checked the Spam folder in my gmail account and all my emails are there.  I did not include a subject so gmail considered it spam.  Thanks.

I sent another email to my gmail account with a subject and content in the email and it is still being placed in the spam folder.  This concerns me.  We are about to switch from web hosted email accts to the exch server.  The name of my domain is mycompany.local but I have the primary email set as @mycompany.com.  Will this problem be resolved with a proper mx record, which will be hosted by my isp.

Also go into the SMTP Virtial Server under protocols and make sure you are not set up to allow 3rd party relaying.  Providers will also block you for this sometimes.  This feature allows spammers to relay bulk SMTP mail through your server so it apears to be comming from you.

Making DNS changes on your local DNS has nothing to do with email delivery. You can do what you like in there and nothing will change.

You need to make the changes on your public DNS.
Reverse DNS is configured by your ISP. If they ask you to speak to your domain registrar then ask to speak to someone who understands the internet.

Do your emails go out with the @domain.com or @domain.local domain name as the From address?

I have the primary email address set to @domain.com.  They are showing up in my spam email folder at gmail as from @domain.com.  I need to know why this is being filtered as spam before I completely change everything over to Exchange.  Keeping email up and running is a big deal.  Thanks.

If your DNS is not configured correctly then the messages will get flagged as spam.
DNS checks are a simple but highly effective way of dealing with spam, as spammers are either using home user machines or other machines that shouldn't be sending email and will not have correct DNS configured.

We have a website which is www.company.com.  Our email is setup through them so they currently host our mx record and we check email through the website.  Could this be causing our email to be flagged as spam.  It is our intention to let our isp host the mx record when we are ready to switch to exchange.

Where your web site is hosted doesn't matter.
The server requires three elements in DNS:

- a forward DNS (So host.domain.com). That is set by whoever looks after your domain name.
- a reverse DNS - ideally matching your forward DNS. That is set by whoever supplies your internet connection.
- the server is announcing itself correctly with a valid name, ideally matching the above.

You don't have to change your MX records for it to work correctly, but if the above elements are not configured then you will find email is flagged as spam.

Simon,

I'm a little confused.  Today is the day that I switch everything over to the Exchange server.  I thought that I would call our web host provider and tell them to remove our mx record from their server.  Then I would contact our isp and ask them to create an mx record pointing to our public ip address.  Using NAT any incoming email would be redirected to our Exchange server.  I would then open ports 25 and 110 on the firewall and like magic, we are sending and receiving email.  It is my understanding that the mx record tells the world where our email server is located.  
1.  Am I wrong?  
2.  What am I missing?
3.  Any idea how long email will be down during this transition?

This is the first time that I have done this.  Thanks for your help.  Dale

During the switch you will not be down for email. However email will continue to go to your old host for up to 48 hours.
You also need to ensure that your current hosting company removes your domain from their internal lists so that anyone else who uses their server for sending email get their email delivered to the new address.
Open port 25 inbound before you ask for the request to be made as the new settings can be live immediately.
