Password management in Windows 2003 Small Business Server

Hello experts.

I manage several SBS 2003 networks and have found it inconvenient to perform basic maintenance on client workstations.  My choices are to get the user to give me their password or reset their password to a new one.   If I reset it, I need to tell them what it is and ask them to reset their password again.  They can't use their old password because of the password history requirement that doesn't allow them to use a password from a 24 history cycle.  There must be some workarounds or third party apps that would make this easier for both the end user and administrator.

Why do you need to log on with their password? As domain administrator you can log on to any workstation with your user name and password. This assures the user's privacy for personal documents and e-mail.

I know there are occasionally reasons you need to log on as the user, but having to change the password let's the user know you were tinkering. You could always change the password requirements in group policy to allow re-use of passwords. Also in active directory if you right click on the user and reset the password I believe you can re-use a password. CAUTION: changing the password in this way, if a user uses EFS (Encrypted File System) will destroy their security certificate and they will not be able to access their files.

Hi RobWill,
There are a number of issues that would require an administrators interaction with a users profile.  I find it frequently especially with novice users.
I don't want to allow users to reuse passwords unless it was reset by the administrator.  I've already tested that and even if the administrator resets the password it still won't allow the end user to use the old password.  Any other suggestions?  Thanks

If you don't want to allow users to re-use old passwords, which I agree with, then there is no solution. The system was designed specifically to give the user privacy, by having their own password.

Keep in mind you can edit many of there files as an administrator such as desktop and profile information, you just cannot logon as them.
We usually just reset the password with a standard company/default password, and check the box "user must change password at next logon". The main concern with that is one user logging onto another user's box with the "company" password before the user does so.

You can also make use of the group policy to create a logon message and use something like "the IT staff had to access your PC last night to provide support, you will need to use the default password and reset your password at logon". They get used to that procedure and you don't have to go see everyone with a changed password.

I agree - you there is no facility to allow reuse of passwords ONLY if the admin changes it.  

I also agree - you should have little reason to go in as the user.  Both Rob and I manage several Small Business Server networks and while I won't say it never happens, I can't specifically recall the last time at any client I had to reset the password so I could use someone's account.

You would have to ease up on the restrictions (which I don't recommend) or accept this limitation.

Thanks guys.  Great comments!  The more I thought about this I realized that it's generally one client that this is an issue with. One of their third party apps requires modifications to the User profile and also they use PGP, which can get a bit finicky and has to be modified at the User level.  As you've pointed out, I don't typically have these requirements with other domains.
I'm going to go with the Group policy notification with the standard company/default password with required reset.
