problem connecting to pop3 mailbox sbs 2003

Hi all,

I'm trying to connect an external pop3 mailbox to a user on our sbs 2003 server (Service pack 2) . it seems to be connecting ok?

Now if i connect the mailbox to my computer laptop directly through pop3 then it works ok.

however i have added the mailbox using the pop3 connection manager;

mailbox type: user mailbox
exchange mailbox: user to pass the messages to.

also if i send and email to the box and then go into the webmail login i can se the sent message so it is getting picked up that end. If i then click 'retrieve now' in the pop3 connector and refresh in the webmail view the message has gone. so i assume it has picked it up.

next, if i  go to troubleshooting under service status 'Messages in Failed Mail Folder' is 0 and status is 'ready'. i've also set logging to maximum (and as this is the only pop3 account we arfe connecting set the undeliverable POP3 mail box to be the mailbox i'm trying to set the mail to go to anyway.)

likewise if i go to c:\program files\Microsoft Windows Small Business Server\Networking\POP3

both failed and incoming mail are empty.

If i got to the application log (attached there are no errors???).

I also followed the instructions found here;

(at the bottom for adding a secondary smtp address.) but this hasnt worked either.

please can someone shed some light on this for me.

Hi guys i've followed the instructions from the troubleshooting guide here now and have narrowed down the problem.

from following the 'Troubleshoot the POP3 Connector e-mail delivery process' section;

i turned off the smtp service and tried retrieving the mail;

now the emails do download and appear in the %programfiles%\exchsrvr\mailroot\vsi 1\pickup

also everything appears to be ok in the Troubleshoot the SMTP delivery process section.

is there anything else i can try?

Have you tried reinstalling Exchange SP2 and re-running the connect to the internet wizard?

If you only have one user collecting pop3 mail and everyone else is using true exchange, I wouldn't use the POP3 connector, I enable the POP3 account in his Outlook profile and let him collect the mail directly.

There is an issue with POP3 and SBS 2003.
You need to make sure that you have the name setup correctly.
If your pop3 mailbox has an email address of user1@domain1.com, you must make sure that your SBS user has the name user1@domain1.com setup as one of his/her email addresses.
Without this, the server will download the message and not know where to route it to and so will just discard it.

hi thanks for the replies guys,

i've think i've sussed why its not working. Coudl someone please tell me if theres anyway around this please.

under the users properties E-mail addresses tab, there ar 3 entries.

smtp : <user>@<server>.local
SMTP: <user>@<domain1>

now i changed the second smtp (<user>@<domain1>) to be the email that the pop3 is connecting to (i.e. <email>@<domain2>). How can i change this, as when an email comes into this box and the user replies we want it to come from <email>@<domain2> and not <user>@<domain1>.

Also what will have happened to any email that the server has downloaded in the period that it wasn't working? (i.e. as from thetests it has been downloading them, just not routing them to the right user???)

Again, if this is only 1 user who needs pop3 mail, set up the POP3 account in Outlook profile for that user rather than using the POP3 connector in Exchange.

Then when the user needs to send mail, he/she can click on "account" button in Outlook and select which account it is sending from.

Unfortunately the mail from the last two weeks is probably lost.

HI Matt,

The problem with ChrisHanna solution is that webmail may not work on this account.

Whichever you set as the default account (the one in bold) is the account used to send email from.
If you wish to reply as user1@ for some emails and user2@ for others, you need to set up like this one.

hi for some reaosn its not passing through the pop3 account again?

we do need the mail to be passed though to mail boxes as there will eventually be three or four people viewing this mail box.

any ideas, as we are losing mail through this account all the time now

Actually it works quite well as mail from both accounts gets stored in my Exchange mailbox, so I can see all email in Outlook Web Access.

To the Author,

The POP3 connector in SBS was alway intended as a temp solution while transitioning to SMTP.   You can receive email for multiple domains with SMTP.

There are solutions available which make it easy to send from whichever address you need to.

If the mail comes into a single user, a rule could be setup to either move it to a public folder or forward it to the other users

so how would this work with emails not that havenet been downloaded by the client machine (if for example the client machine is turned off.). Any new emails wouldnt be be downloaded by OWA would they not as the POP3 setting will not propagate through?

Ok, think we are going to have to bite the bullet and actually redirect the mail from this domain o the mail server.

How would we then filter this to the right user? i'll explain what i dont understand i suppose first.

at the moment the our mail server is receiving all email from <domain a>.

all users emails SMTP are set to be user@<domain a>.com.

If i change the a records to point to this server and then simply set the SMTP of the user to be user@<domain b>.com on the server this should filter the email through correctly?

are there any potential pitfalls to directing multiple domain emails to the same server?

Hi Matt,

The way I do this is to
set up an "a" record to set mail.domaina.com to external IP address of server.
set up an "a" record to set mail.domainb.com to external IP address of server.
set mx records to mail.domaina.com
set mx records to mail.domainb.com

On the server
Go to Exchange System Manager, Recipients, Recipient policy, Properties, Email address (Policy) and make sure you have listed
@domaina.com
@domainb.com
@localdomain.local
add any of these if they are not there.

That should do the trick.

In my case, my workstation is on all the time (24X7) so downloading the mail is not an issue.

The POP3 connector that is part of SBS has always been problematic.  GFI makes a great POP3 connector if you want to go that route.

I think i'm going to go down crashe2000's route with changing the a records, as eventually i think we will need multiple emails heading to the server anyway.

i'll keep the question open just in case anything drastic happens though, if that ok.

Hi,

Back again. Ok, looked at it, so by changing the defult policy, this should change it for everyone should it not?

so then for example j.bloggs user would receive email from j.bloggs@dmaina.com and j.bloggs@domainb.com. Is this right?

However, if this is the case is there a way around this situation please.

we would want to have info@domaina.com and info@domainb.com behave as seperate mailboxes. is this possible?

(sorry if i'm looking at thei in the wrong way.).

You can simply remove the domain b address from those not needing it and there is a check box that you will uncheck so it doesn't come back

I think you can best achieve what you want by setting it for everyone and then setting up a ditribution group for info@domain1.com and another for info@domain2.com

ok sorry for the lack of response. can you further explain the distribution groups? as i cannot seem to find a decent link about them.

but i this is a quicker way of removing the all invalid @domaina or @domainb stmp entries to users so that the mail is distributed correctly?

Basically, you can set up a distribution group, assign it an email address eg:- sales@domain1.com, allow it to recieve email from the internet and have this email forwrded to 1 or more users.
