Question

Prevent exported SQL.csv output from breaking up row of text over multi columns

Asked by: decipherThis

I have created a SQL query to output written text which may be multi-lined and contain carriage returns, numbers and/or other characters. When this .csv is exported into Excel, the text which appeared as one continuous row of data in one column in the query analyzer grid, has now been segregated and cut-up amongst several columns across the same row.
I have tried to export it as a .txt, .rpt, export to file...I suspect Excel is having an issue with the carriage return from the query output?

You can try replacing the carriage return/line feed characters for export.  Can use empty string, space, or other delimeter if you want to know that there was a line break that was removed.

SELECT REPLACE(column1, CHAR(13) + CHAR(10), ' ')
FROM table1

Thanks for your quick response,
Can this code accomodate seveal columns?
Here's asilly question, but I'd like to be sure:
Does this code actually scan the data that is to be outputted and replace the characters or does it make the replacement in the live table data?

Thank you.

by: mwvisa1Posted on 2008-08-25 at 13:00:16ID: 22308692

You would just duplicate this code to use for other columns like:

SELECT column0,
REPLACE(column1, CHAR(13) + CHAR(10), ' '),
REPLACE(column2, CHAR(13) + CHAR(10), ' '),
REPLACE(column3, CHAR(13) + CHAR(10), ' '),
column4,
column5
FROM table1

This is only replacing the value for the resultset of the query.  If you want this to be replaced in the live data, you can change to an update statement.

You escape commas by encasing the value of the field in quotes (single or double), and then escape instance of those quotes inside the value by placing two of them adjacent.  At this point you shouldn't need to worry about line breaks, but sometimes software won't handle them correctly so if you still have a problem I prefer replace them with a tab.

The result for each column looks like this:

'''' + REPLACE(REPLACE([columnname], '''', ''''''), CHAR(13) + CHAR(10), CHAR(9)) + ''''

You might also want to turn that into a user-defined function, to save typing in your queries, make it clear what you're doing, and so if you change your newline delimiter you only have to do it in one place.

I am not an Excel expert, but I believe you can set options that will tell excel not to break the lines. Look in the help under "Import a text file".
<table class="OTbl" cellpadding="0" cellspacing="0" width="100%"><tbody><tr><td class="cdONBodyCellUnpadded"></td></tr></tbody></table>

by: jcoehoornPosted on 2008-08-25 at 13:18:36ID: 22308879

Finally, because of the jumbled appearance of the quotes in places (just how many single quotes are there in here? :''''''), it's common to use CHAR(34) instead.

CREATE FUNCTION CleanForCSV
(
	@value nvarchar(3998) -- we'll add at least 2 characters
)
RETURNS nvarchar(4000)
AS
BEGIN
	RETURN CHAR(34) + REPLACE(REPLACE(@value, CHAR(34), CHAR(34) + CHAR(34)), CHAR(13) + CHAR(10), CHAR(9)) + CHAR(34)
END

Assuming you were able to execute my CREATE command successfully, to use the function you would change the select clause of your query like this:

SELECT
       dbo.CleanForCSV(People.LastName) As LastName,
       dbo.CleanForCSV(People.FirstName) As FirstName,
       dbo.CleanForCSV(ObjectiveActionPlans.ActionPlan) As ActionPlan,
       dbo.CleanForCSV(AnnualObjectives.Goal) As Goal

I first ran the CleanForCSV function above with now problems. Now after running my query I am getting the following errors:

Server: Msg 208, Level 16, State 1, Line 1
Invalid object name 'dbo.CleanForCSV'.
Server: Msg 208, Level 16, State 1, Line 1
Invalid object name 'dbo.CleanForCSV'.
Server: Msg 208, Level 16, State 1, Line 1
Invalid object name 'dbo.CleanForCSV'.
Server: Msg 208, Level 16, State 1, Line 1
Invalid object name 'dbo.CleanForCSV'.

I then removed the dbo. prefix and now get the error below:

Server: Msg 195, Level 15, State 10, Line 2
'CleanForCSV' is not a recognized function name.

Check in sql server management studio and make sure the function exists in the database.

by: decipherThisPosted on 2008-08-26 at 13:25:30ID: 22319045

I see it under the functions folder

by: decipherThisPosted on 2008-08-26 at 13:28:59ID: 22319089

Ok, I finally took a closer look. The function get renamed with my username.CleanForCSV
