Question

Agreggating data

Asked by: eirikur

Hello,

I'm new to all that Excel & VB stuff, so I need your help :)

I've got a table who looks a bit like that

BLT            4      Not enough
BLT            892      Normal
BLT            628      Too much
Lobster Rib      18      Normal
Lobster Rib      6      Too much
Hamburger      1      Normal

I want to aggregate some data, I expect a result like that

Anormal sandwichs ("Too much" or "Not enough")

BLT            632
Lobster Rib      6
Hamburger      0

It's a bit heavy to really explain... if you don't understand, please ask me :)

menu -> data -> filter -> auto filter
just select abnormal type from the filter criteria

by: eirikurPosted on 2006-09-01 at 03:06:23ID: 17435591

Oh well, in fact I simplified a bit too much my problem...
I'm trying to have a result of anormal sandwiches %, something like that :

BLT          (4+628)/(4+892+628) => 41,4 %
Lobster Rib     6/(6+18) => 25%
Hamburger     0%

by: reku631Posted on 2006-09-01 at 05:46:42ID: 17436517

then u can use iif() condition

by: matthewspatrickPosted on 2006-09-01 at 06:16:41ID: 17436725

Hi eirikur,

Here is a programming-free solution:

1) I put your data into a worksheet, with headers in Row 1 of Type, Qty, and Descr, and the data starting in Row 2
2) I created a PivotTable, with Type as a ROW field, Descr a COLUMN field, and (Sum of) Qty as a DATA field
3) I added a calculated item to the Descr field, Abnormal, defined as: ='Not enough' +'Too much'
4) I used the selection list in the Descr field to show just Normal and Abnormal
5) I went into the Field Settings for Sum of Qty, hit the Options button, and selected "% of row" under
"Show data as"

That gave me a PivotTable showing Normal vs. Abnormal on a percent basis for each type.

Regards,

Patrick

suppose
your a1:a6 contains BLT..LOBSTER..HAMBURGER
your B1:B6 contains 4,892..18..1
your C1:C6 contains not enough... too much... normal

You need to add one more coloumn say D1:d6 and
it will have
"OK" WHERE EVER U REQUIRE ("Too much" or "Not enough")

now i want a sum result a c7
that should scan all the above data from a1:c6
and it should give me resumt of 4 + 628
That is my D column with OK

now on c7 type formula
=SUM((A6:A6="BLT")*(D1:D6="OK")*B1:B6)

and
now presss Control Key + Shift Key + Enter

that will make the a1:d6 to any array
and will give u result of 632

if you see the formula above the column u will see
that {} courley brackets are added to the formula

in the same way you can determine the other conditions

by: reku631Posted on 2006-09-01 at 06:56:44ID: 17437003

now after u have succefully created such formulas, u can then join such multipel formulas to give u the end result

by: eirikurPosted on 2006-09-05 at 07:05:02ID: 17455752

reku631 > can you check again your formula on C7?
"    =SUM((A6:A6="BLT")*(D1:D6="OK")*B1:B6)   "

what is it supposed to do ?

thx

Have you tried my suggestion?

Patrick

by: reku631Posted on 2006-09-05 at 21:56:08ID: 17460776

=SUM((A6:A6="BLT")*(C1:C6="Too much")*B1:B6)  + SUM((A6:A6="BLT")*(C1:C6="Not enough")*B1:B6)

reku > thanx it worked

patrick, i'm stuck at step 3, when I try to create a calculated item...
Excel only shows me "Formula1" to fill... Didn't you mind calculated field ?

by: matthewspatrickPosted on 2006-09-06 at 05:54:41ID: 17462709

eirikur,

Yes, I'm sorry, I meant calculated field :)

Patrick

by: reku631Posted on 2006-09-06 at 05:55:52ID: 17462719

glad i could help.

by: eirikurPosted on 2006-09-06 at 06:29:03ID: 17462933

Patrick, I think I'm doing something wrong.
When I try to create the calculated field, Excel is always adding it into the DATA field, instead of the COLUMN field.
How can I change that?

Thank you for your answer

by: eirikurPosted on 2006-09-06 at 06:52:48ID: 17463102

Well step 3 & 4 are now cleared (i'll get it :)
Step 5 : Where can I modify the field settings for Sum of Qty ?

by: matthewspatrickPosted on 2006-09-06 at 06:58:20ID: 17463140

Sorry, I was right the first time--calculated item.

Before executing step 3 below, select the gray cell marked "Descr".  That should allow you to add Abnormal
as a calculated item within the Descr PivotField.

5) I went into the Field Settings for Sum of Qty, hit the Options button, and selected "% of row" under
"Show data as"

eirikur,

> Step 5 : Where can I modify the field settings for Sum of Qty ?

You can rightclick or doubleclick the gray cell that reads "Sum of Qty" in the PivotTable.
If you go into the Layout screen from the PivotTable Wizard, you can do it there also
(again by rightclicking or doubleclicking the field).
