Question

How can I delete dup Downloaded Transactions

Asked by: BPSRobertAdmin

QuickBooks Pro 2007: I have some extra (dup) transaction in my online backing que. I can not find a way to delete them from the import que. And if I add them to the register and then delete them they just go back to the import que again. Is there a way, other then adding them to the register and them voiding them?

Thanks,
Robert

I don't understand (I am a long time QB user). What is a "backing que"? And why not delete duplicates in there?

If you try to add a transaction into QuickBooks that is a duplicate in reality, but not necessarily exact, then QB will not know about it. So from that perspective, you want to delete imports before entry into QB or else scan every transaction after entry.

It is really, really easy to make a duplicate transaction in QB by making the reference number different by one character or the journal entry number different by one character.

Sorry for the type-0. That should be "Banking Que". And I should not have used that term. Here is the menu path... Banking /  online banking / online banking center / items received from institution. The diaalog box that appears is titled "Match Transactions". It contains transaction that I have already download and added to my register. How do I delete them from this list?

No problem - typo's are typo's. We all make them.

OK, so in QuickBooks, a balance sheet account is also a register. So if you open a register (let's say the Bank Account), then down at the bottom of the register window (you may have to scroll if you use Multiple Windows), there is a Sort By drop down. In there you can sort by Number/Reference. That is the most likely duplicate indicator. If the transaction number changes so as not to provide reliable duplicates, then sort by amount. This latter is dangerous because all sorts of things can have the same amount. However, you get the picture - sort by a meaningful indicator.

If the list is large (long), exit the Register, right click on the account, do a Quick Report limit the date range to the relevant dates. Then export to Excel and sort for duplicates.

Unfortunately, if you have imported duplicate transactions, then these are just fancy journal entries. and there is no wholesale way to delete journal entries. You need to identify the duplicates as noted above and then void each one.

Another, entirely different, alternative approach:  Set up your banking download to download independent but contiguous date ranges (e.g. download Jan 1 - 31, then Feb 1 - 28 and so on) so that the downloads are mutually exclusive and contain no duplicates.

But the Downloaded Transactions don't seem to be a register. They have not been accepted yet. Are they? I have attached a screen shot of the Downloaded Transactions that I want to delete. Hopefully we can get on the same page.

Thanks,
Robert

Thanks for the picture. This picture shows that the transactions are not duplicates from a QuickBooks point of view:  There is no reference number (very bad in a situation like this) and the dates are different.

It appears to me that the transactions are repetiitive but not duplicates. So if there are transactions in the bottom half that you don't want, I think what you will have to do is add them from the bottom screen to the top screen, keep a note of what you added, and then in the top screen, void any that you do not want.

There are perhaps a couple more alternatives (I am not familiar with the Banking Que part of this):

(a) Once you have accepted the transactions you want from the bottom (Que) to the top (QB Register), can you just delete the Que from disk?

(b) Can you contact the banking institution and ask them if they have tools to manage the Que outside of QuickBooks.

(c) Once straightened out, consider downloading only exclusive but contiguous date ranges from the bank so that duplicates do not exist.

I did try (a) but it justs adds them back to the list of down loaded transactions. I will go ahead and accept the add and void solution. Not what I hoped for but you don't always get that.
Thanks,
Robert

Thank you and good luck. QuickBooks interfaces are not always the easiest to use.
