I find the best method to have two diagrams, one showing the physical switch topology and then on each link list the VLANs that are trunked, and the other using the cloud network showing the VLAN addressing and a description of each VLAN.
Visio is one good tool, Cisco has published Visio icon's that you can use, available at:

You can draw your vlan diagram by using visio. The trick is just by using a cloud or other picture to describe your 800 user without drawing each one of them.

2. Draw them on separate pages. After you draw your vlan page, make them as part of the whole network on the other page.
