Question

Gmail with MS Exchange.

Asked by: maclema

Hi All,

I have two email accounts, a gmail account, and an ms exchange server account.

I have both accounts setup in outlook 2003, and until today I did not notice that every email message I send / recieve through the gmail account is being synchronized back to the ms exchange server account. I dont want any of my gmail messages going to the exchange server account.

Is there a way to stop this from happening??

Thanks

Matt

Greetings, maclema !

A Gmail feature is that Outlook will download every message that you send through Gmail webmail.  You cannot change this feature.  You can filter the sent email to your Sent mail folder or filter it to Trash.

Outlook will download all receive emails, but that is the nature POP3 access.

Best wishes!

I want it to down all the gmail messages, thats great :)

what I dont want it to do is upload all my gmail messages to the exchange server after downloading.

Example:
Gmail == personal
Exchange == work

Outlook downloads 5 emails from exchange, and 5 emails from gmail. Great. But now if I go and login to the exchange web access, the 5 emails that "Outlook" downloaded from "Gmail" are now in my "Exchange Server" inbox, which is work only.

So if someone emails me a 50MB file in gmail it gets synchronized back to exchange server thus filling up my mailbox :S.

Thanks

Hi, you need to check where the gmail is being delivered to.  In the main outlook window choose;

tools => email accounts => View or change existing email accounts => next => then select your gmail account

You can then check to see where the new mail is being delivered to by looking in the "Deliver new email to the follwing location:" dropdown at the bottom of the E-mail Accounts window.  If it says Mailbox - yourname then it's going to exchange.  To get it out of exchange just choose an existing outlook data file from the dropdown list or create a new one using the "New Outlook Data File" button.  you can then select the new data file as the delivery location for gmail.  That should sort it out (-:

Cheers,
Scozza.

Actually, I'm wrong.  Not sure where my brain is today!  My previous post will result inall mail going to the chosen destination folder so it may not be a good solution for you.  I'll keep thiking about it & will re-post if I find a solution.

You could create a rule in outlook that would re-direct all mail received on your gmail address to be moved to your local PST.  This would keep it off the mailbox, although it would initially be received at the mailbox level, outlook would move it to your PST removing it from the Exchange mailbox.

How do I tell it to move the message to the local pst?

by: MCPJoePosted on 2006-05-16 at 10:12:40ID: 16692612

Go into Rules and alerts in Outlook, create a new rule to move everything sent to your gmail address to a folder on your local PST.  If you don't have a local PST file created you'll need to add one.  Go under email accounts, go to change existing account, and click the button to add a personal folder.  Set the rule to move the email from your gmail address to a folder on the PST.  The folders in the PST should appear in the list of available folders when you click the link to "specified folder" in the rule setup.
