Retrieving Outlook Archive items with attachments

My users are answering YES when they are periodically prompted if they would like to archive items now.

They are then deleting older items.

How do they retrieve archived items?

Hello hgj1357,

Archive items are stored in archive.pst file.  In Outlook go to File > Open and select to open the archive.pst as another set of personal folders.

Archived items will be moved a .pst file normally located in C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\Outlook. or it could be saved to another directory.  FYI - this is a hidden folder so be sure to un-hide all hidden folders.

If someone opens this file, how do they avoid all of these archived items coming back into Outlook?

I guess, where do the items in the archive go after opening the PST? Would be a better question!

they stay in the .pst file.  It's almost like a database.  to move the items you would have to do it manually.

So how do I see the archive items? Are they in Outlook? What folder?

yes, you will need to open the archive .pst file from within Outlook....goto file\open\outlook data file and browse to where the archive file is located.  it will oepn in outlook at the bottom of the Outlook bar on the left.

The file opens as a separate set of folders, so they stay separate from the default personal folders.  Do not import.  Use the method that I outlined. Go to File > Open

Once I've opened the archive does the "Archive Folders" link to the database of archived items including newly archived items, or would I have to re-open the file each time I archive more stuff?

It links to the file. When move items are archived, they are appended to the archive.pst file.

No, it is not a 'link'.  You are looking at the archive file in real time.  no, you wouldn't have to re-open it each time.  if an archive runs again to that folder you will also see those e-mails.
