Question

Search in additional Mailboxes in Oulook 2007

Asked by: w3r

Hi there!
I think I have a strange Problem ;-)
We have the following environment:
- Exchange 2007 on Windows 2008
- Vista (SP2) with Office 2007 (SP2)
- All users have 1 profile in outlook with the primary mailbox as their personal mailbox
- All users have added an additional mailbox (like a team mailbox)
We have this problem:
- When a user starts to search, OL will search only in the primary mailbox.
- When I go to the search options I can't even check the additional mailbox

Is there any hint about the search in additional mailboxes?

any help ist very appreciated...

Hi w3r,
With Outlook, you can only search one service at a time. To search other mailboxes, do this:
Tools> Instant Search> Advanced Find.
Click the browse button to navigate to the mailbox or service you would like to search and click OK
Enter remaining criteria
Hope that helps

Well, i tried this but it's an insufficient function in outlook. When I go to advanced search and go to browse, I can check my whole primary mailbox to search for or I can klick on another mailbox. So far so good - but in other mailboxes I can only search one folder at a time It's not possible to search all subfolders as well. How does one explian this to a user ;-) ?

There is a checkbox below to select all subfolders, no?

Hi w3r
If you click on the other shared mailbox, and then selsct each of the main subfolders by hand will it allow you to search this way? You may need to de-select the inbox from the other mail service first

Hi there,

as of my research of this issue I found out the following:
- When WDS is used from outlook's instant search searches are limited to one shared folder. Searching outside of outlook has no such limitation. Means that a external tool is needed (at least WDS 4.0, GDS doesn't work with additional mailboxes.)
- The only way to get a comfortable way to search everywhere in every mailbox is to use Lookeen, but it's not free.

@kfalandays: Yes, I tried to click every thinkable constelation in this dialog - all without success.

But many thanks for all answers!
