Outlook 2007 Indexing Not Working Properly on XP Pro

Hi All,

I have a client who is running XP Pro, and Outlook 2007.  Recently, just this month,  he noticed that when searching for emails, not all "matching" emails were being returned.  I checked also, and found this to be true.  

He is not using an Exchange back-end.. just pulling down email from a POP3 acct and using local .pst files.  

In Outlook, under the indexing, all three folders he uses are checked to be indexed.

Under Services, Indexing service was set to Manual, and was not running.  (As is mine, and my indexing seems to be fine).  I suspect his was not running prior to this issue.

One article I read (from MS) said to turn on indexing and let it re-index the machine. He did this, but emails are still missing from search, and he is getting a message that says indexing still needs to complete on 1500+ records (but it never does this, or finishes).

Re: the "error" message in Outlook, he reports:
 "The box on the search screen says:  "Search results may be incomplete because items are still being indexed.  Click here for more details"

When I click there, the message is: "Search results may be incomplete because items are still being indexed.  1548 items remaining across all open mailboxes" (a slightly higher number than earlier this morning) "

  "When I do a search for all emails sent this month it shows none for the following dates:  18 - today, 12-16, 9-10, 5-6 and 2nd.  Same search for last month shows no emails for 1, 2, 9-20, 23, 29  & 30"  "

However, those emails do exist...

I've seen 'solutions' that say to go to control panel, "indexing options", however this icon does not exist, nor does a .cpl that I can find to launch from the run line. (again, XP Pro)

Is this just a corrputed .pst file??  Should I do a .pst repair w/ scanpst.exe?   Any suggestions would be appreciated!  Thanks!

I've heard that installing SP2 for Office 2007 will fix the issue, but have yet to be able to test that theory for myself.  Maybe give that a shot if it's not already installed?

you should have the XP Search 4.0 Function installed (KB940157) for email searches to be done correctly under Outlook 2007.  just remove the Deskbar when done as as to not cluster the toolbar area.

then you will have the Index icon in the control panel (sound like his index file could be corrupted).

Hi .. thanks to all who responded so far..

"centerv" -  Thanks for the link- that's good info.. however, I already noted that he doesn't have the indexing options Option in control panel  I will try this solution if I can get the icon to appear..  per the installation of XP Search 4.0 as suggested by "IainNIX" above.

"redcap2" - I'm checking on his SP, but I do believe SP2 is already installed.  Waiting to hear from him now.. will report back if this is not the case..

I was able to rebuild the index, although, for a week after rebuilding it still did not work, so I am not 100% positive that I can attribute this to finally resolving the issue. The the indexing icon never appeared in control panel where indicated that it should be. I haven't yet, but may have him install the search engine as well at a later date, as suggested by IianNIX to help searching and hopefully install that icon.   With that said, email searching is working now (why, I really don't know).  I had to go to "other control panel options" link under control panel to find index..  (I don't have this option on my control panel, but he does).  I think it may have just been hanging on some message that he finally deleted, and the indexing was able to continue.  Thanks and points to all who tried to assist.
