Question

MS Office (2003) Spell Check. Consider two words as one.

Asked by: Rincewindwizz

I have a spreadsheet (Excel from office 2003) with 45 years of results of a competition (and wish to continue using the spreadsheet for future years).
The spreadsheet has currently about 1000 names (e.g. P.J.Proby) and I use the spell check facility with a custom dictionary to check the names. This all works fine (except the suggested alternatives are not great) until I get to names like 'N.M.Parker-Tomlinson' or 'Sir Reginald Flintstone' because the spell checker considers these as separate words N.M.Parker; Tomlinson; Sir; Reginald; and Flintstone.
Is there some other non-printing character I can use to separate the words that will cause the spell checker to treat them are one word or some other way round the problem?
TFAI
PS Even if "" round the name would work its not really a solution since it will be tedious to type and look horrid on printing

Go to Tools Options Spelling & Grammar and select Custom Dictionaries - Modify. In the Word: box, enter the name as you want it, i.e. N.M.Parker and select add. Now, if you type N.N.Parker, it will show up in spell check.

Yes indeed and that is what I do with 80% of the names. But I want to spell check as a single word names like
Sir Reginald Bosanquet  (considrered as 3 words)
W.Sopwith-Camel  (considered as 2 wrods)
and the spell checker considers these as more than one word
I really need something like a non-breaking space so that it looks like a space but the spell checker thinks its all one word.

Hi Rincewindwizz:
If you think the format W.Sopwith-Camel sounds ok, why don't you try with W.Sopwith_Camel ? It will consider "W.Sopwith_Camel" as a single word.

I'll find out whether there are special character/s available to be used to separate the words , still the spell checker to treat them are one word

Please go through below article.
http://office.microsoft.com/en-us/excel/HA011331361033.aspx

Refer ASCII non-printing control characters section
It describes all the non printable ascii characters.

My Suggestion:
Use an appropriate ascii value (Ex: horizontal tab, etc:) into your name.
refer the Insert an ASCII character into a document section for insert these character. Keep in mind that you have to press alt, then use keypad numbers to insert these chars.

This should make the separation you need and these should not be print in the document as well.

Hope this helps.

"-" is valid only because some people have hyphenated names. Underscore is not acceptable unless it can be made not to print..  I have tried the other non-printing characters (000 to 0032) but they all seem to act as a word delimiter.

Now, if I could ensure that the _ character was, for example, white (so it dod not show up while printing, that would be fine. but can you chance the color of a single character in a string in Excel?

And then I doscovered the offering below at http://www.mrexcel.com/forum/showthread.php?t=94605 by Tom Urtis which seems to do the job.

Thanks for the _ suggestion.

Sub WhiteUnderscore()

Application.ScreenUpdating = False
Dim cell As Range, i As Integer, cellVal As String
With Columns("A:S")
.SpecialCells(2, 3).Font.ColorIndex = 1
For Each cell In .SpecialCells(2, 3)
cellVal = cell.Text
For i = Len(cellVal) To 2 Step -1
If cell.Characters(i, 1).Text = "_" Then cell.Characters(i, 1).Font.ColorIndex = 2   '3 = Red, 2 = white; 1 = black
Next i
Next cell
End With
Application.ScreenUpdating = True
End Sub
