Question

Excel 2007 conditional format on pivot table

Asked by: jondevito

Hi all. I'm having an issue in Excel 2007 when using a pivot table that has a conditional format. Basically every time I refresh the data I lose all of the formats. From what I'm reading I need to use VBA to set the conditional formats when I refresh the pivot table because the ranges change constantly. This is what I need to happen when I refresh the pivot table:

I have Vacation Days in column S...if >=5 make the cell (not the row) fill Red.
I have Personal Days in column T...if >=3 make the cell (not the row) fill Red.
I have Sick Days in column U...if >=4 make the cell (not the row) fill Red.
I have Bereavement Days in column V...if >=3 make the cell (not the row) fill Red.

Any help with this would be greatly appreciated, I never use VBA se I will probably need specific instructions on how to do this.

Thanks so much.
Jon

Hello,

What you can do for VBA code is in this spreadsheet.

You go in Developer tab and you click on insert / command Button activeX controls.

Then, after the button on your spreadsheet, you double click on it and you paste the formula.

Dim Cel As Range
Dim Plage As Range
Set Plage = Range("s1:s6000")
If Plage Is Nothing Then Exit Sub
For Each Cel In Plage
'Code for Column S
   If Cel >= 5 Then
   Cel.Interior.Color = vbRed

   Else
   Cel.Interior.Color = xlNone
   End If
Next Cel

'Code for Column T
Set Plage = Range("t1:t6000")
If Plage Is Nothing Then Exit Sub
For Each Cel In Plage
   If Cel >= 3 Then
   Cel.Interior.Color = vbRed

   Else
   Cel.Interior.Color = xlNone
   End If
Next Cel
'Code for Column u
Set Plage = Range("u1:u6000")
If Plage Is Nothing Then Exit Sub
For Each Cel In Plage
   If Cel >= 4 Then
   Cel.Interior.Color = vbRed

   Else
   Cel.Interior.Color = xlNone
   End If
Next Cel
'Code for Column v
Set Plage = Range("v1:v6000")
If Plage Is Nothing Then Exit Sub
For Each Cel In Plage
   If Cel >= 3 Then
   Cel.Interior.Color = vbRed

   Else
   Cel.Interior.Color = xlNone
   End If
Next Cel

The worksheet has a PivotTableUpdate event that you can use to automatically run any reformatting code when the table is refreshed.

When you say that the ranges change, do you mean the columns in question can vary, or just that the number of rows can change?

Thanks both of you. That would be awesome Rorya, so I could run Wilders code in an update event? Any idea how I would go about that? I've never really done this before.

Thanks!

Hello.

If you go with the code posted higher, just put a command button on your sheet:

You go in Developer tab and you click on insert / command Button activeX controls.

Then, after the button on your spreadsheet, you double click on it and you paste the formula.

After that, just need to click on it to refresh the colors.

I will definitely try it with the code above but I dont want to add another button unless 100% necessary. The user has to go to one sheet & update the data, then go to another sheet & refresh the pivot table then click this button to update the format...way too many steps for an end user to do. I would love it if I could plug your code into an OnRefresh event.

Ok, if you already have a button, then use that one by adding the code above.

It should be good.

Assuming it works (I haven't tested), you would right-click the sheet tab of the sheet containing the pivot table, choose View Code, then paste this in:

Does it not work if you apply thte CF to the whole columns and then specify that the pivot table should preserve cell formatting?

Private Sub Worksheet_PivotTableUpdate(ByVal Target As PivotTable)

Dim Cel As Range
Dim Plage As Range
Set Plage = Range("s1:s6000")
If Plage Is Nothing Then Exit Sub
For Each Cel In Plage

Absolutely perfect! The only thing I changed was the ranges from s1:s6000 to s3:s40000. Thank you both for the help!

Glad to help. FYI, you could also use:
Intersect(Range("S:S"), Target.Tablerange1)
to get the part of the pivot that is in column S.
