Question

Paginating in Excel '97

Asked by: snardi368

When printing a workbook in Excel '97, how do you number the pages including each worksheet? (Example: sheet 1, page 1, 2, 3; sheet 2, page 4, 5, 6; sheet 3, page 7, 8, 9)  Also, I also need to put the same footer on each page of each worksheet.  Could anyone help?

Without VBA/Excel you have the following alternative:
-File Print: Entire Worksheet _or_ active sheets.

by: criPosted on 2001-02-22 at 12:58:55ID: 5869016

To edit several worksheets at once, press and hold the Shift key and click on the wanted worksheet tabs. When done, this is most important, remember to reset to normal edit mode by clicking one tab again, otherwise you will foul up the whole worksheet. With other words: Do this as porcupines do 'it'....Very carefully..

save file as required
1) click file
2) print preview
3) when preview opens, click page setup on top toolbar
4) see the drop down menu on the lower half of the window, open it and scroll to the desired option.

this will not only PRINT the desired sheet and page of each sheet but can also be used to label the appropriate sheets or pages as you desire.

the other option is to create a "custom header or footer" in the same manner

How do I leave a comment for "cri"?  I am accepting his answer for I did try his suggestion and it worked - except it still did not number all the pages of all the sheets.

(cri:  What does 'sigh' mean?)

As for Mack1015's answer - I could not get that to work.  Is he talking about an older version of Excel?

Please let me know if I am doing the right thing by writing these comments. I would also like to grade 'cri'.

Thank you.

snardi:

How do I leave a comment for "cri"?  I am accepting his answer for I did try his suggestion and it worked
- except it still did not number all the pages of all the sheets.

WHY DON'T YOU WAIT UNTIL YOU GET ALL OF IT RESOLVED? CRI WILL SURELY COME BACK AND CONTINUE TO HELP WITH THE PAGE NUMBERING. YOU CAN HELP HIM BY TELLING HIM WHAT DID HAPPEN INSTEAD OF JUST "IT DIDN'T NUMBER ALL THE SHEETS"

(cri:  What does 'sigh' mean?)

THIS MEANS CRI, LIKE MANY OF US, IS MILDLY DISGUSTED WITH MACK BECAUSE HE POSTED AS AN ANSWER. IF YOU READ THE TIPS ON COMMENTS AND ANSWERS AT THE BOTTOM, IT'S AN UNWRITTEN "RULE" THAT WE DON'T POST ANSWERS.

As for Mack1015's answer - I could not get that to work.  Is he talking about an older version of Excel?

I GOT TWO SCROLLS BUT DON'T KNOW WHICH ONE HE'S TALKING ABOUT EITHER, SNARDI. I SUSPECT MACK'S GOT AN ADD-IN.

Please let me know if I am doing the right thing by writing these comments. I would also like to grade
'cri'.

AS I SAID, SNARDI, YOU MAY WANT TO WAIT UNTIL IT IS ALL RESOLVED. THAT'S WHAT I SUGGEST AND I'M SURE CRI WOULD SUGGEST AS WELL.

AS FOR THE PAGE NUMBERING, SELECT ALL SHEETS, HIT FILE-PAGE SETUP AND AT BOTTOM OF PAGE TAB, MAKE SURE AUTO IS SELECTED.

IF THAT WORKS, AWARD CRI THE POINTS BECAUSE HE'S HELPED YOU MOST.

I think what Cri forgot to state was that you should create a custom header or footer when you have the sheets grouped. You can insert the Tab field and the Page field, this will print the Sheet name and page number in the footer/header.

by: FlakePosted on 2001-02-23 at 09:20:01ID: 5872015

With the sheets grouped, and while in Print Preview, you can select one of the preset headers or footers.  They already have the format "(sheet name), Page #".  It will automatically pick up the name of the next sheet as it adds the page numbers.

By looking at all the comments and garnering bits and pieces from each, you should have what you want.

No fair, Snardi!  You're getting to go home and don't come back until Tuesday?  It's only 1 pm here in the US midwest and Monday is a regular workday.

I took the inserting of a page numbering in the footer of one worksheet for granted.

snardi368, if not _all_ pages are numbered then most probably have to repeat the Shift+Select of all worksheets before defining the footer. Afterwards, please do not forget to reset to normal edit mode.

I, for one, am anxious to see how it worked out, snardi!

by: snardi368Posted on 2001-02-28 at 08:34:45ID: 5887933

Hi 'all',

I have tried all the suggestions and am able to get the worksheet name on each page.  Also, I am able to number the pages of each worksheet.  However, I still want to number the whole workbook.  As I explained in my question I would like to do this:  "sheet 1", page 1, 2, 3, "sheet 2" page 4, 5, 6, 7, 8, "sheet 3" page 9, 10, 11, 12, etc. etc.

Just a reminder:  I am using Excel '97 - I also tried Mack1015's suggestion as follows:

(save file as required
1) click file
2) print preview
3) when preview opens, click page setup on top toolbar
4) see the drop down menu on the lower half of the window, open it and scroll to the desired option.

this will not only PRINT the desired sheet and page of each sheet but can also be used to label the
appropriate sheets or pages as you desire.

the other option is to create a "custom header or footer" in the same manner)

I do not see a 'drop down menu' as indicated in #4.

I am sure we will get this soon.  Thanks again for all your help - I am not giving up.

I use Office97 and when I "shift-click" or "control-click" to highlight several sheet tabs asnd then use View/Header-Footer/Custom Header, it numbers the pages the way you want.  Under "Custom Header" , if you get the drop-down box, use the one that has the name of your first page and then page number.  If you get the box with three sections, choose the last icon (the tab icon), then add the page number icon.

The first time I experimented with this I got the drop-down box, just now I got the three section box.  Strange.

I do hope you're using "Print Preview" to see if it works and not wasting all those trees!

by: snardi368Posted on 2001-02-28 at 11:04:00ID: 5888584

Oh yes, I am using "Print Preview" to see if it works!

I have 6 worksheets which total 143 pages.  I am still not able to get the page number on the worksheets from 1 in "Worksheet 1" to 143, the last page in "Worksheet 6".

I have tried every suggestion above.  I will not give up, though.  This has to work.

by: FlakePosted on 2001-02-28 at 11:13:50ID: 5888624

I'm puzzled because it works for me.  Would you consider sending a copy of  the workbook to me?  Maybe just two worksheets with multiple pages so I can see what's happening?  lake@houlihancomputers.com

by: snardi368Posted on 2001-02-28 at 11:25:52ID: 5888687

Yes, I will do that.

by: criPosted on 2001-02-28 at 13:04:13ID: 5888961

snardy: Did you really choose the _entire_ workbook option in the print dialog as I posted in the first comment or, when using print preview, had selected all tabs with Shift+click ?

by: FlakePosted on 2001-02-28 at 13:39:30ID: 5889078

cri - and everyone.  I've been working with her workbook for the last hour or two.  It just doesn't work.  I can insert several worksheets within her workbook from a workbook of mine and her page wil revert to "Page 1" between tabs, but my threesheets will number sequentially, then it reverts to "(next tab) Page 1" when it gets to her next tab.

I don't see anything in properties, or VBA that would account for it.  The only anomaly is in Page Break view - instead of showing the page breaks, it turns the whole sheet a muddy brown with no page breaks.

Anyone else got any ideas?

by: DreamboatPosted on 2001-02-28 at 14:59:45ID: 5889232

Have you copied the sheets to a new workbook? (fixes corruption usually)
Have you copied the guts to new sheets? (YUK! fixes corruption when first option doesn't work)

And I thought snardi was a guy!! Haha!

by: snardi368Posted on 2001-03-01 at 05:20:39ID: 5890965

Believe me, all you wonderful people that are trying to help me with this mess - I did nothing to my computer!  We have an IT Department here that is no help at all, besides taking all the 'so-called administrative privileges' away.  I created the document the normal usual way, I am sure.  I have no idea why this would work for some and not for me.  But as I said, I will keep trying.

by: FlakePosted on 2001-03-01 at 06:58:13ID: 5891155

I found a fix!!!  I still don't know why it does what it does but here's a way to fix it:

Highlight all your tabs by holding down the shift key.  Click on the "New Workbook" icon.  Go back to your original workbook and go to "Edit".  Select "Move or Copy Sheet".  When the dialogue box comes up make sure you check "Create A Copy" - just moving doesn't work.

In the top line of the dialogue box, under "To Book" select the blank book you opened, probably labeled "Book 1".  In the second section, "Before Sheet" select "Move to End", slect "Okay"

You will now have your entire workbook copied to Book 1 with Sheet 1 as the first sheet.  Again select all sheets and clear all your headers/footers.  Create the new header or footer by selecting from the drop-down box "Sheet1, Page 1".  Check through Print Preview, but it should now number consecutively with each new worksheet name coming up appropriately.

Once you're sure it works, go to the blank first sheet and use "Edit/Delete Sheet"  You will now have your original document with the correct page numbering.

I don't know why this works, but it will if you follow exactly.  If you copy to "Before Sheet 1" or copy to just a "New Book", etc., it doesn't work, but having the blank sheet ahead of your copy does.

I will try to award 'cri' points for his/her help.
Thank you, cri
