Question

View subprojects in MS Project 2002

Asked by: TheoViset

HI all,

I have a project containing several subprojects, which are stored in .mpp files themselves. Each developer keeps his project up to date, some of these projects are subprojects for several other projects, and I want to keep the master projects up to date.

I want each of the sub projects visible in my project, but not with the details, just the percentage of the project up to now, which information should be 'live' data taken from the seperate mpp files.

So, can I link several mpp files to each other, sharing the status or any information of that project in other projects?

Greetz,
Theo

Do you already know MSP's concept of master project?

If not, I think you'll find anything you need through the help.
Use the F1 key to get the "Microsoft Project Help" window.
Then select the "index" tab and type "master project" in the 1-Type keyword area.
In the 3-Choose topic area, select "all about master projects and subprojects"
... and learn from there

Hope this help!

And it did :-)

But, I still have some questions. I checked the Read-Only box for the subproject in the master project, but I am still able to change the tasks of the subproject. I only want these updates to be done in the subproject, and the see total status of the project in the master project.

Last, when I want to send this project overview to my customer, can I disable the information display for the subprojects, or actually, for any task? That you don't see the small + sign to open the task?

So, he can see my subproject as entity, but not its details.

Thanks, greetz,
T

What do you mean by Read Only box? Where did you find it?

Actually, the tasks from subprojects are just viewed through your masterproject. If you change anything to subproject tasks through the master are changed on subproject tasks IN the subproject.

The masterproject stores just
- links to the subprojects
- cross-subprojects informations such as cross-subproject dependencies, shared resources...
- no-subproject-dependent tasks, i.e. tasks you added at the top level in the file or depending from such a local top-level task.

If you send just the masterproject's file to your customer (I understand here you don't share the file on a common network, accessing the different disks with equivalent letters), he will not see anything, because the links to the subprojects will be broken.
If the files are on your network at addres f:\anydirectory\anyfile.mpp, the masterproject's file will try to find it back at the same  "f:\anydirectory\anyfile.mpp" address, but on your client's network.

As far as I could know, there is no feature to hide subtasks according to user rights on an mpp file.

If you don't want to share every information stored in the (sub)project files I suggest to send your customer _reports_ showing their just the info you want to show them.

In the help, select the "content" tab then expand "track and manage a project" and "report project status" and select the reporting method you prefer.

Well, that makes sense, just send the masterproject without the subproject, I could have thought about that :-)

If you doubleclick the subproject, and then select the Advanced (I think that' the one, I have adutch version), it shows the path to your subproject, and a ReadOnly check box.

Thanks a million!
