Question

word processing problem

Asked by: korda

When using "words" in office 2000, I some times have to transfer text from one document to the other. When I cut / copy and paste from an A4 size document to a smaller A5 size page, the sentences fragment, spread  and lose continuity ( try it yourself)e.g. the above sentence if transfered would appear on A5 as:--

"When I cut / copy and paste from an A4 size document
 to an A5 size
document, the sentences fragment, spread  and
lose continuity" .

I then have to back space and re-align the sentences  which is very time consuming.
How to avoid this so that the sentences stay aligned according to the size of the page automatically when transfered?
Thanks

Just tried. When I set the blank small document "justify" aligned then it pastes fine.

If you find the smozgur's solution doesn't work try using paste special and selecting Formatted Text (RTF). That seems to get the paste correct even after having first failed with a straight paste to start with in the same dicument. With this method you don't need to use the justify button as it carries over the format from the original document. I think the problem with the straight paste instruction is that it only pastes the characters not the format however with the Formatted Text (RTF) option selected it pastes all the information including the formatting.

Hope that helps.

This problem does not arise when I type myself and later change the paper size. Problem arises when I download a literature file from the "project Guttenberg" on the net and then try to change the page size. The original file is a scanned copy I believe and these sentence splits arise where possibly during original typing one has pressed "enter" and that tends to stay in the transfer from A4 to A5; hence the split. Any way, I have tried all the suggestions and none has worked.
Thanks to all who tried to help

I agree with your explanation:
"I believe and these sentence splits arise where possibly during original typing one has pressed "enter" and that tends to stay in the transfer from A4 to A5; hence the split. "

My two cents:
1) Go to Tools/Options/View/Formatting Marks and check "Paragraph Marks" or "All" to see a structure of a document.
2) Typically in this case you have TWO paragraph marks between original paragraphs.
In this case I use the following solution (you can record a macro or do it manually).
- Search and replace two paragraph marks (^p^p) with any unique string (for example "GHJISADF")
- Search and replace all paragraph marks with a space symbol
- Search and replace a unique string  ("GHJISADF" in my example) with a single paragraph mark

As a result you would consolidate sequential single-record paragraphs into bigger paragraphs.
