Question

Add fields using VBA

Asked by: SkyWalker

Dear experts,

I need to extend word to allows users to create documents. In the document, I added a new menu item and pops a window listing some fields where users can select and place in the document. The problem now is I don't know how to add fields using VBA. I checked many documents, all telling Ctrl-F9 or existing word dialogues the only way to insert fields.
I'm not sure if fields is the correct way to handle this. I am also considering mail merge and bookmarks but fail to find any good documents.
Could you please let me know what's the best way to achieve this.
Many thanks in advance.

Simple Answer; record a Macro.

by: SkyWalkerPosted on 2003-10-15 at 22:22:52ID: 9559671

Dear gilbar, thanks for your reply, could you please elaborate your answer? What macro should I record? What I want to achieve is really allowing users to enter pre-determined fields by my application into a document. How can macro help?
Thanks in advance.

by: gilbarPosted on 2003-10-16 at 06:41:37ID: 9561953

okay, you've got your fields listed on your new menu, right? And you want the macro to insert fields off of the menu, right? Yyou tell word to start recording a macro, and then you pick the fields you want off of the menu, then end the recording of the menu.  Then when the user runs the macro (presses the button on the toolbar we've assigned, presses the hotkey we've assigned, however we decide to have the macro start), the macro will (should;) do what we did when we recorded it.

Problem with recording: you can't use mouse commands when recording, only keyboard commands.  I don't think this would be a problem from what you've said so far though, should be able to select items from your menu with the keyboard alone.

Let me know if this would be what you're looking for, and if it is we'll work on the details

Dear JOrzech,

I'm still struggling here.
May be I haven't stated my requirement right.
What I need to do is to allow users to select some pre-defined fields from a list I'll provide. That is, when they're creating their document (i.e. letter etc), they'll insert those fields into the document. After the document is completed, I'll need to do a "mail-merge" (in quotes because I'm not sure if this is what I should do) replacing all fields with actual values.
Is fields the correct feature here or should I use something else? In either case, how to achieve what I wanted to?
Many thanks.

Yes - you should be doing a mail merge using mergefields.  Please see Dreamboat's article here:

http://www.theofficeexperts.com/word.htm#MailMerge

The "values" should be contained in a data source file (which simply a Word table with columns for each field).  Something like:

Name                           Address                                Salutation
SkyWalker                     123 Main Street                     Mr. Skywalker
                                    Anytown, NY 11111

I don't see a need to use VBA other than perhaps to generate your popup window displaying the fields....

SkyWalker?  Anything????

A simple mail merge will do what you're asking...
