How to export tasks and status by week in MS Project

I need a way to do several things in MS Project; 1. export the tasks and percentage complete that are occuring for the upcoming week 2. allow the user to update the spreadsheet 3. A nice to have would the ability to import the team members update back into MS Project.

1.) Exporting is not the issue, just have a look to "Save as", there you can save i.e. an Excel file which all fields you want to export. You can save the selection as a map, if you want to do this more often.

2.)  The users can change the excel files

3.)  No trivial solution. This is some work, as you have to write a macro for this. Also this depends on some preconditions, so that the correct information comes back into the correct task.

To solve all of your requests, think about MS Project Server, here the resources can report their work via the WEB.

You mean a macro?. No sorry, I don't have one for this. This is quite a little bit work as you have to make sure reliabiliy as weel of flexibility of such a thing as any project may have a differnt structure. Nevertheless it is possible of course.

The MAP I talked about is a MS Project phrase (other versions use the word 'schema'), which is simply a definition, which MS Project fields are belonging to which Excel fileds. If you use a Excel template for exporting data, you can reuse this MAP to export allways the same fields into the same Excel fileds. On the same way, you can also import data, but what this import can not handle is to assign the correct lines of Excel to the correct task in Project nor it can handle multible imports. This makes the import function only usable, if the plan is not changed on both sides and if you can import one single Excel sheet.

But if you add the work for writing the macro and additionally the work for all the exporting and importing, I'm quite sure, Project Server is cheaper. The way to try to handle it with Excel sheets is not so seldom, but I have never seen anywhere, that this runs for a longer time. The effort is simply too high.

I send you a screenshot from the Project Server reporing page, where resources can report hours with no really additional effort for taking over any data.

If you really want to work with excel sheets, you can think about to store the project file as MPD instead of MPP. This file format allows directly to open the file with Access. Not sure, if this makes it easier for you, but it is a try.

Project Server is not in my jurisdication, does anyone have any other ideas?

You should open your project, then select File / Save As, and select Microsoft Excel as the target format. You will have the opportunity to select which fileds to export, and even a data range. It is a lot more complicated to make the updates back to Project. Sorry, but a simple solution to this doesn't come to mind. The ultimate solution is to go to Project Server.
