Before I found out we made no changes to the Exchange server I actually did go in and change the relay setting under the default SMTP server to allow relay from that IP (static) and this did not fix the problem.

Browse All TopicsUntil last week our 2003 Exchange Server was sitting on a Windows 2003 Domain controller running DHCP, DNS, WINS. We had a Ricoh MFP humming happily along.
Last week I swung the Exchange server to a temporary box, uninstalled Exchange/Wins/DNS and demoted the server to a member server. I then reloaded Exchange and swung the mailboxes back. DNS and Wins are hosted on a new Domain Controller (2003 R2)
That broke the Ricoh Aficio MPC2550 that the office staff use for copying, scanning, and e-mailing.
Staff could not longer e-mail scans. This is important because there is no fax machine here and the IT manager does not want to teach anyone a new procedure (like scan and send from Outlook)
I found that I had forgotten to change the Primary DNS and LDAP server settings on the Ricoh. Secondary DNS was still working. I changed WINS, DNS and LDAP to the new server (or rather I gave these to the IT Director over the phone and he did it).
Staff can now e-mail from the Ricoh internally but not outside the network.
I contacted the tech who was here when the unit was installed and he said that there was absolutely no changes made to the Exchange server to accommodate this unit. He says the copy company techs did everything at the unit and only asked him for the name of the LDAP server and a user name and password on the domain.
This one has been escalated from on high. Does anyone have any thoughts? We called the copy company and they will send someone out next week which is not acceptable to the boss.

try to get an NDR for the messages that are sent outside of the organization.
add the reply address used by the ricoh machine as an alias of one of the mailboxes.
exchange should generate and NDR and sent it back to the reply address thus sending it to the mailbox in exchange.
that should point us in the right direciton.
simply add an SMTP alias to a mailbox user.
for example, if your ricoh machine sents document scans with a from addres "ricoh_mfp@mycompany.com",
that way if an error message like relay denied is sent back to the "user" (the ricoh machine) it will be sent to your mailbox.
hmm you might be right.
so if i get you right, your configuration is as follows:
exchange server ip is 192.168.1.1
ricoch mfp ip is 192.168.1.50
ricoh mfp has 192.168.1.1 as smtp server
exchange has 192.168.1.50 added to the relay allow list
ricoh mfp can send to all users on the exchange server, but not to outside domains?
do you use an smtp connector on the exchange server?
have you also set the smarthost address on the smtp virtual server?
The Ricoh is using the "inventory" account to authenticate and I see no NDRs in the Exchange mailbox for inventory. "Inventory@company.com" is the address the machine is using.

ok. so that means an error has been sent back to the ricoh.
so try my suggestion of adding the address "inventory@company.com" to your own active directory user account under "email addresses"
also try the message tracking center.
open exchange management console.
goto tools > message tracking center
enter the from address (for example ricoh_mfp@mycompany.com) in the sender field
choose the exchange server in the server field.
press find.
it should return all sent mails. find one that is send to an external address and check the results.
it might be best to send a test now and limit the time frame to the last few minutes.
that will give most accurate results.

enable message tracking on the exchange server:
http://www.msexchange.org/
after that send an email from the ricoh again and check the tracking center.
you need to get hold of that NDR report.
in exchange console go to the smtp virtual server.
on the messages tab, enter your own email address in "send copy of NDR to" field.
restart the smtp virtual server and the smtp service
rerun a send from the ricoh.
you should receive a copy of the NDR with more details in your mailbox.

You need to tell the exchange server to allow the RICOH to relay e-mail.
