Question

Exch 2003: forwarding e-mail to an external address

Asked by: onsite_tech

I'm having the hardest time to have incoming e-mail automatically forwarded to an external address

I have a rule setup in Outlook to forward all incoming email to an external address, BUT the email does't forward.
When I setup the same rule to forward to an internal address, it does work.

In exch 2003 (and outlook 2003), is there something that prevents this forward ?
Can I avoid using an Outlook rule and do the forward on the server ?
When I go into the mailbox properties on the Exch 2003 (in AD users and computers), I can have a copy sent to another internal mailbox ... can I use this to send to an external (e.g. hotmail) address ?

Thanks,.

The best way is to create a contact in your ADUC
Select smtp and put in the external email ( username@hotmail.com)
Then, go to the properties of the user's account
select EXHCANGE GENERAL
select forward to:
Click on modify and assign the contact that you just created.

No need to involve Outlook or rules in this at all
In AD Users & computers on your exchange server, create a new user...give it a name that has some connection to the external email address.  DO Not create a mailbox for this user...uncheck the default "Create Mailbox" check box.

Once the user is created, right click on the user  and select "Exchange tasks".  In the Exchange tasks wizard,  Select "Establish Email Addresses".....then click on "Modify" the email address, select "SMTP Adress" and add the appropriate email address.

Then go into the properties of  the mailbox from which you want to forward and under the "Exchange General" tab and the "Delivery Options" button, select  "forward to" and use the modify button to select the mail-enabled user ( the one with the external email address)....and check the box "Deliver Messages to both Forwarding address and Mailbox"

In essence, what you have done is set up an internal user (Not mailbox) with an external email address....

If any of this doesn't make sense, please ask.

To answer your specific question - in a default configuration Automatic Forwarding by the users (ie with a rule) is disabled. You will need to enable it.

ESM, Global Settings, Internet Message Formats. Right click on the Default and choose Properties. Choose the tab "Advanced" and then select the options as required. Apply/OK out.

However using the Contacts method outlined above is a much better choice. It gives you control over the contacts and ensures that the users don't screw things up with a rule that creates an email loop or something silly.

Simon.

Is there a reason for the "B" grade?  Were my directions not detailed enough?  Do you require further information to completely address the issue?

by: lpelletierPosted on 2008-03-24 at 06:48:45ID: 21193483

I found the message to be clear, concise, sufficiently detailed and useful.  IMHO it deserves an "A" grade.  It should probably go into the library of solutions.
