Exchange 2003 SP2 Intelligent Message Filter issue

We have several estudio copiers that we use around here.  People use them to scan to email and for the most part they work fine... but for some reason the Exchange IMF will just randomly decide that the scans are spam and delete them.  I've added the IP addresses and the email addresses to the server global accept list and the exceptions list under connection filtering but it did not work.  I also tried adding the user who most recently had the issue to the exceptions list when I noticed that it specifically said recipients in the description at the top... however IMF still stopped and deleted the message.  how can I make IMF stop doing this for these copiers?

It sounds like you've done everything.  I've got a couple scanners and devices that email logs and set them up the same way.  I'm assuming that since you say that some emails are spam that you set up relaying for each device correctly.  Are we just talking about 1 Exchange server?  If you change the Blocking method to Archive, do you positively see these messages being archived, or is it possible they are released to the client but client-side/Outlook rules are deleting the message?

There shouldn't be a need to add an Exception to the Block List as when the server's address is entered for the Global Accept list, it doesn't look at the Exception list or the Block List.  I suppose there's no harm, but to keep things clean, I would just go with the Global Accept List.

Did you enable Connection Filtering for this SMTP server? Servers|Protocols|SMTP|Default SMTP Virtual Server|Properties|Advanced|Edit, ensure Apply Connection Filter is selected.

Do you have anything listed in Perimeter IP List and Internal IP Range on the Message Delivery Properties General tab?  You can add your internal servers here, but presumably that is the same as adding them in the Global Accept list.

You might have to restart the SMTP after making the changes.

If all else fails, you could set up an authenticated session which bypasses the filters.

The easiest way to deal with this is to simply put a second IP address on the server, then create a second SMTP virtual server which is bound to the second IP address and do not enable IMF on it. Then point everything internal at the second IP address.

TWBit, I had tried most of what you had suggested already, and the ones I tried after reading this didn't work unfortunately.  I thought I had figured out a fix when I realized I was  being one sided in my attempts to find a solution... I looked through the settings of the copier itself and found some authentication options for the smtp client settings.  Unfortunately when i tried to use them it failed entirely.... in the end I tried Mestha's solution, and at first it didn't work, and message tracking kept saying "message scheduled to retry categorization"... I left it like that over night and checked in the morning and it seemed to add another of those messages every hour or so... so it didn't appear to be working and I undid it.  I realized later I had not restarted SMTP.. .nor had I changed authentication settings on the new virtual server...  so... after changing things appropriately and reP... it appears to be working flawlessly....

it appears the website ate the last part where I said restarting SMTP but I think you guys probably got the point ^^
