Question

Exchange 2007 email retention

Asked by: ABMauriHelpDesk

We are converting from Domino to Exchange.  Our legal department wants us to delete mail after 90 days automatically, except for certain people who are involved in litigation.  Can I do this in Exchange 2007 without having to purchase Enterprise Cals?  In Domino I set  policies and applied them to users, but I can only find Managed Custom Folders that requirs a Enterprise CAL..  Thanks!

The design goal of Exchange 2007's Messaging Records Management (MRM) was to do exactly what you are looking for in enforcing your Legal Department's requirements.  While it does have its issues, especially having to rely on the end user to categorize their Email, MRM should meet your business and technical requirements.  I do not believe you're going to find another option that is less expensive, though I would be interested in the thoughts of others.

For more information, please visit http://www.msexchange.org/articles_tutorials/exchange-server-2007/compliance-policies-archiving/exchange-2007-messaging-records-management-part1.html.

Hope this helps...

Basically you can create several Managed Default folders, set the content retention settings and apply them to the users.

Only managed customer folders require CAL's so you should be fine with the requirements you list above.

I see where I can create Managed Content Settings for Managed Default folders.  I can then set my retention for 90 days, but how do I then apply that to the appropriate mailboxes?

Thanks!

Go to Recipient Config --> Mailbox --> Properties --> Mailbox Settings --> Message Records Management and choose the managed default folder mailbox policy you setup.

You will need to configure the Managed Folder Assistant from

Server config --> Mailbox --> Select server in top middle pane --> Proprties --> Managed folder assistant.

Schedule this for when you wish the policy settings  to be applied.
