How to config Exchange 2003 to delete email from mailbox after a specify no. of day

for some reason, some of our user's need to keep email at server ever they had download email to thier outlook or outlook express, but i want those email keep only for a specify no. of days. I only can found to delete deleted email from the system setting, but those email are store on thier inbox, hence that setting cannot work. please help how to set it, thanks!!!

if your downloading with pop3, just go to the "more settings" in the pop3 Email accounts settings, then click Advanced then click the "leave copy of the message on the server" tick box and then you can change for how long you want to keep them on there for.

i know that long time ago, but some of the user are using pocket pc, outlook and etc. So that did not work for me.

Could you tell me how your email system is setup then please? Im guessing you have your clients PCs setup to deliver the emails to the personal Folders on their PCs, and not keep them on the Exchange server. So your clients will download the emails from the server to the PCs.

To change this go to the Email settings of outlook, then change the deliverly loction to "mailbox - <username>"

no special setting, user's pc\pocket pc directly connect to the exchange 2003 server and download email. but the user trend to remove the "leave copy of the message on the server"  function, so we need to do it on server side.

and some user need to get email from the same mailbox at home, notebook and office, so we must keep thier email on server so that they can dowload email at home even he had downloaded at office's pc.

I dont quite understand how you are doing this, by default Outlook and PDAs leave a copy of the emails on the server when properly configured. How do you clients connect to the exchange? pop3, IMAP or Exchange server?

right, the problem was we don't want to keep too many mail at the server, fro example we want our senior to keep thier email at server for 2 month while junior keep for 1 month, i want the server to automatic delete email after the specify number of days.

Ok, well there is no server side setting to do this, i guess you need to just teach your users not to play around in settings. I know this is something we cannot do here in the UK as emails are now considered "company documents" and have to be kept for 6 years, and so we use something like GFI mail archiver to automaticly archive off the emails from the exchange server, keeping it cleared.

o, those user cannot be teach and they think they can do what they wanted XD

On your Exchange Server:

Open System manager (\Exchange\bin\Exchange System Manager.msc)
Expand Recipients
 Right Click Recipient Policy
  Right Click the mailbox policy you want to change (usually companyname.Mail Settings
Right Click Properties
Click the Mailbox Manager Settings (Policy) Tab

Check the box to enable the Policy
Highlight the Policy you want to change then click Edit

Make your changes and exit
