Question

How to setup server 2008 to ensure safe email delivery? - IIS7, Server 2008

Asked by: MHenry

Hi,

I recently switched to a virtual server for hosting and one of my customers is complaining that the email he sends is being identified as SPAM to his clients and being caught in their SPAM filters.

I contacted my hosting company and they say my IP is fine but that they "can perform a analysis of your email server setup and make all necessary changes to ensure that legitimate email providers accept your emails."

I don't want to pay them to do this, I want to know how to do it.

Does anyone know of a tutorial or book that describes how to accomplish this?

Thanks,
MH

First step is to get a copy of the spam-tagged email from the client, or at least just the headers.

If it is outlook, ask him to right-click the email in the msglist and choose 'message options' from the context menu, and then copy out the contnts of the message header.

Take a look in there and you should get some clues as to why they thought it was spam.

Cheers.

The most common errors I find include:

550 Access denied - Invalid HELO name
601 error
553 Bogus helo

And from Yahoo:
451 Message temporarily deferred

Is there anything these errors might have in common? I've double-checked the settings and they all seem ok

Best,
MH

Hi,

I'm guessing that those are mail server log file excerpts?

Invalid HELO name might mean a few different things.

Commonly, it means that the name a server is sending does not match the DNS reverse lookup name.

It might also mean that your server does not send a fully qualified hostname (i.e. HELO myserver.domain.com) instead sending a hostname part only (i.e. HELO myserver)

the yahoo response usually means that the email has been deferred for some unspecified reason.  It could be because it hasbeen tagged as spam, or it could only mean that the destination host is temporarily offline.

In any case, none of those indicate any cause that your mail is being tagged as spam.  You need to see the message headers of the mail when it is received by the end user - mail server logs are not really helpful.

Cheers.
