Mass mail out of Outlook 2007

Hi

I learned how to create Outlook Template messages, but I would like to know how to build a list of people to email to all at once.  Obviously, I can just CC a whole bunch of people, but I thought there has to be a way to store a list and email out to that same list each time it is required.

Create a Group of contacts in your Contacts with all email id you want.
Send email to them, when you create a new email, in bcc field, click to add contacts and you will see that group contact (distribution list)

you can also use categories on your contacts
then after viewing by categories you can drag the category onto the inbox - and this will create an email addressed to all members of the category -I would then move them from TO to BCC to keep it privte who theother members are.

You can also do an EMAIL - mail merge in Word - which can use a database, spreadsheet or text file as the source.

Hi

is there any way of keepoing that category or group from synchronizing with my cell phone contacts?  I jsut do not want a bunch of extra contacts in my phone...

If you create a separate contacts folder and add the contacts you want to mail but not sync in there and then create the group in the additional fodler, then you can change the properties of the new contacts folder and make it "show this folder as an additional address book" and then mail from this address book.

Your cell phone will only sync with your primary contacts folder and not the new one.

Create a distribution group & add a email address of the user you wish to mail frequently. Its the best option of mass mailing.

Hi Guys

I really appreciate your answers!  I am good with using the email portion of Outlook 2007, and have plenty of regular "Contacts" in Outllook, but working with different folders and groups, etc in the Contacts area is kind of new to me.

Are any of you aware of a video tutorial on the Contacts section of Outlook 2007.  I could only find a video for the 2003 version.

Open Up Outlook 2007

At the bottom left-hand corner - click on the Folder Icon which will open up the Folder List view.

Under You Mailbox (Top Left) - you will see Calendar / Contacts / Deleted Items / Drafts / Inbox / Sent Items etc.

Right-Click on Mailbox - {Your Name} and Choose New Folder.

Type in a Name - such as Mailings - Select Contact Items from the Folder Contains drop-down.

Right-Click on the new Contacts Folder and choose properties.  Select the Outlook Address Book Tab.

Tick the Show this folder as an e-mail Address Book box.

Add your contacts to this new contacts folder and then click on the arrow to the right of New and in the drop-down, select New Distribution List

In the Distribution List - click on the Members Icon and then add the contacts from the new contacts folder.

When you next create a new email, clik on the To field and then change the address book to show the new contacts folder and pick the distribution group.

Type in the subject and the rest of the message and click on send.

When you Synchronise - only your main contacts folder will get sync'd to your phone - the new contacts folder will get ignored.

Hopefully that should get you up and running.  If not - please come back for more instructions.
