Browse All TopicsI have contacted Adobe on this a few times and let me say they have some of the worst support I've come across in a while. Anyway I figured I would post my issue here in hopes of an answer.
Scenario:
We are using Adobe Acrobat Professional 9 to create PDFs of Word 2007.docx and we are also using it to edit existing PDFs that were created in Acrobat Pro 8 or 9.
Issue:
When we go to edit the PDF and use the Text Touchup Tool we get an error message that says "Warning! Since the original font is not available, a substituted font for editing is used. Any changes to the text of the original font will place a new font dependency upon the document."
Then if we make the changes and save the PDF the spacing throughout the document is changed.
Troubleshooting:
I noticed if I go to print the Adobe PDF and go to Property's > Edit Default settings > Fonts > Arial doesn't show up. Yet if I go to the C:\Windows\Fonts folder Arial is definitely there and it works fine in Office products. I replaced the Font from the Window install CD and still it didn't work.
Resolution:
I need to be able to edit existing PDF's and create new PDF's using Arial font.

To solve the problem for this and future documents you need to embed Arial into the document by changing the PDFMaker job option settings. In Word go to the Acrobat add-in menu and select preferences. Under the settings tab, check which joboption setting is the default, probably Standard. You want to make sure the joboption embeds Arial, whichever option you use as the default, so click on the Advanced Settings and go to the Fonts directory on the left.
First make sure that Arial is NOT listed under Never Embed section towards the bottom of the screen. If it is, highlight all variations of Arial (Control click for multiple fonts) and when all are highlighted, click on Remove. This will remove Arial variations from Never Embed. Now variations of Arial should show up under the font source listing, select all of the variations, then click ADD. This will add them to the fonts that will always be embedded. You will be prompted to use Save As so either overwrite your default setting or go with the default which is Standard(1), appending a parenthetical version after the job option name. The job option setting should stay the default until switched, you will want to double check the setting the next few times just to be sure.
You may also want to distribute the revised .joboption file to others you work with if they are affected by the font issue as well.

The AcrobatUsers post had a similar issue to mine, but I can't user their work around. I also checked in Word and it didn't show any missing fonts when I click the Substitute Fonts Button.

Arial doesn't show up anywhere in the Embedding section even though it is actually in the C:\Windows\Font directory. Also I don't think this would help me edit existing PDFs?
For the first step I would make sure Adobe sees all your fonts. To accomplish this launc. Acrobat Distiller and under Settings, check the font locations and add any missing locations where your fonts are stored. Make sure that C:\Windows\fonts is showing.
For your existing PDFs, do you have any luck in fixing the situtation by changing your Acrobat settings to use local fonts, after you make sure all fonts are located by Distiller? To change your Acrobat settings, in Acrobat go to Edit/Preferences/Page Display and make sure there is a check in the box for Use Local Fonts in the Rendering section.
Please let me know if Distiller already showed the font location for arial and if using local fonts fixed the problem for existing pdfs at that workstation. It will help me to figure out the next steps if necessary. Good luck.

When I check Acrobat Distiller it does show all the correct font locations, but it doesn't list Arial even though its in the C:\Windows\fonts directory. It does show the following variations of Arial:
Arial-Black
Arial-BoldItalicMT
Arial-BoldMT
Arial-ItalicMT
ArialMT
ArialNarrow
ArialNarrow-Bold
ArialNarrow-BoldItalic
ArialNarrow-Italic
Also Use Local Font is checked. Is there anyone else out there with Acrobat 9 that has Arial font listed in Distiller or Acrobat?
To fix the existing PDFs, then you will have to use the Preflight features only available in Professional..To simplify you need to reembed the fonts. With the file open, in Acrobat/Advanced/Preflight
This feature will reembed the fonts in the pdf files that are missing the Arial. If you try to create new ones, it sounds like your machine will create them with the fonts properly embedded. You can share how to make sure the fonts are embedded with those that you have control over and fix the PDFs that you receive that do not have them properly embedded.
See if the Preflight fixes your existing PDF files and make sure when you create one, the font is embedded. If so, I think we solved your problems as best as possible, we just need everyone to create them properly!
