Why PSTs Are Bad...
Lately I have run across a few situations where a user was recommended to use a PST file with Outlook to help manage the size of their mailbox. Here's a link that talks about why this could be a bad idea.

Best solution of course is actually to spend time managing emails and get rid of unneeded items. If a person is using Exchange, they also should find out if an archive has been set up.

If you must use PST because of being a small business, rather than repeat what is already out there, for more information on managing Outlook, I suggest this very well written article by Expert John Hurst: https://www.experts-exchange.com/articles/29735/Outlook-for-dependable-use-in-a-very-small-business.html
