Contacts Folder in Outlook 2002 does not display names from the Address book.

I'm new here, so forgive any errors in protocol. I've seen similar questions to this before, but I haven't found a solution that addresses my particular problem, so I'll try to be very specific. When I click on the Contacts folder that's listed under "Outlook Today- Personal folders", there is no information listed. When I go to "Tools-Address Book", all the addresses are listed there. In that dialogue box, there's a drop-down list under the heading "Show Names From The:"  That list currently shows "Contacts", but there are six other choices, all labeled "Contacts" that can be selected. What do I do to have the correct Address Book information show up when I click the Contacts folder?

(I figure the extra "Contacts" in the drop-down box were generated as I archived and backed up old outlook.pst files to keep only 6 months of email in my current Outlook Today folder. But I've never had this problem before.)

Sorry for being long-winded. Please note I'm not having the converse problem that shows up here; I'm still able to pull from the Address Book when addressing email.

Thanks for any help.

    Accepted Solution

Hi  cwthornton1211, it sounds like you have extra contracts folders in your Outlook profile that are also being displayed in your Address Book.  The best bet, since they all appear as "contacts" in the address book, is that there are extra PST files, or personal folders, in your Outlook profile.

If you go to the Folder List where you see "outlook today - personal folders" click the "minus sign" next to "outlook today - personal folders" which will hide the subfolders of it.

Anything else here?  You may see other entires that say just "personal folders" without the "outlook today".  If so look in them for a "contacts" folder.  If you find one, and there are any entries in it, click on one, then hit CTRL+A to highlight them all.  Next hit CTRL+X to "cut" them, then go to the "contacts" under "outlook today - personal folders" (you'll need to click the "plus" to expand its subfolders) and left click on the "contacts" folder there to highlight it and hit CTRL+V to "paste" these contacts into your main contacts folder.

Go back to the "contacts" you just found and removed these contacts from (or that you found but was empty), right click it and choose properties and go to the Outlook Address Book tab and uncheck the box to display this folder as an address book.  Now it won't show up in your address book needlessly.

Repeat for any other contact folders you find until everything is in the main contacts folder, and it is the only one listed under Outlook Address Book in your actual Address Book drop down list.

This worked like a charm, Traval. Thanks so much for your patience and clear instructions. After following yours, I had the secondary problem of an error message popping up when hitting the "To" button when writing a new email, but was able to go to the Tools menu in the Address Book dialogue box and associate it with the correct Contacts folder. Back to normal now. Thanks again.
