How best can i copy my existing mails and what is the best format in which to copy them so i can import them unto the new system?

Greetings, o_bent!

All emails are stored in the PST file.   You can export the emails using Outlook Import/Export function. Or you can copy the PST file to the other computer.  Then import the exported file or PST file into the new Outlook.

Cheers!
o_bent,

PST file is hidden, so you will have to unhide hidden files. Open any folder and go to Tools > Folder Options > View. Check "Show hidden files and folders".
