Scheduling Meetings with Outlook 2003

We are using Outlook 2003 and schedule frequent meetings with multiple attendees. Finding times when all invitees are available can be tedious at best.

Is there a way that I can provide the list of invitees, the amount of time I need them for, and have Outlook find me the first time slot on when all of them are available at the same time?

For example, I need:

John Smith
Amy Grant
Bob Johnson
Trudy Walsh
Eric Brady

and I need them for an hour meeting. I want Outlook to go find the first time that they all have a free hour at the same time, without me having to slide a scroller bar back and forth trying to find it manually.

Thanks

I wear a lot of hats...

"The solutions and answers provided on Experts Exchange have been extremely helpful to me over the last few years. I wear a lot of hats - Developer, Database Administrator, Help Desk, etc., so I know a lot of things but not a lot about one thing. Experts Exchange gives me answers from people who do know a lot about one thing, in a easy to use platform." -Todd S.

Greetings, DanSleep.

That's exactly what the AutoPick Next button does.  It finds that next time that all attendees have the amount of time requested open and available.  Of course for this to work the attendees ahve to be publishing their free and busy information, and have to be using their calendar.

Cheers!

- Create a Meeting Request by going to File/New/Meeting Request and Select all your invitees first !!! (Dont worry about selecting a date or time yet)
- Next Click on the Scheduling Tab (you should see a list of your invitees)
- At the Bottom your meeting request, select your Meeting start time and Your Meeting end time. (Be sure it is an hour long)
- Next to the bottom by the Meeting end time field there is a button called "AutoPick Next>>"
If you press that button...it will locate the next hour/day/month that everyone in your list has available.

Hope i helped
