Mailbox Backup - Users no longer with company

I have a number of users in AD who are no longer with our company.  I have been asked to backup their mailbox and delete their AD account and mailbox.  The process I have been using is as follows:

-Enable Account in AD
-Change Password
-Create Profile in Outlook
-Login as User
-Create .pst
-Move Files
-Archive .pst
-Delete User

2 Questions

1.  For some users, when I get to step 3 above, I get a message stating "The action cannot be completed.  The connection to the MS Exchange Server is unavailable.  Outlook must be online or connected to complete this action."  I have no connectivity issues, server is available, etc.  I also get the message "Your server or mailbox names could not be resolved."  This, I think, is more to the point.  I think there is something wrong with the account that will not allow me to log into that specific mailbox.  None of the accounts I have trouble with are set to expire or have any settings different that the accounts I dont have trouble with.  Any ideas why I cant log in with them?

2.  Is there an easier way to archive a mailbox straight from the exchange server without going through this routine?
