Outlook 2003 Emails Stuck in Outbox

I am having a problem with Microsoft Outlook 2003.  Emails are getting stuck in the outbox intermittently.  The quick fix that I have been using is closing out of Outlook and reopening after a short pause.  Sometimes this works and sends the emails in the outbox.  If this attempt does not work, I have to end the outlook.exe process in the task manager.  Then resend the emails in the outbox.  I'm wondering why this keeps occuring.

I'm not sure if it is the Email Server, Anti-Virus Software or Outlook itself that is causing the issue.

Greetings ron_finnerty !

Are there any characteristic of the email being sent that gets stuck?  Are they large with attachment?

1. Register an important send/receive library file.  Go to Start > Run and type regsvr32 inetcomm.dll

2. Check if antivirus email check is slowing sending and receiving.  Disable it.

Check if other programs running in the background is interfering. Disable one at a time the Firewall, antispyware, antispam, and all Norton programs.

3. In the account settings, Advanced settings, change the server timeout time from 1 min to 5 min

4. Check if outgoing mail server authentication is required. Select that option in account settings and use same settings as incoming server

Best wishes, war1

The emails range from simple emails with only text in the body to emails with attachments varying in size. It is an intermittent issue- it has happened to most of the users at least once.
I already have the server timeout set to 5 minutes. I suspect it may be the antivirus program getting hung when scanning outgoing emails. I will check that out and see how it goes.

Please also see if the email server that you use (would help to know if its your own or located externally and it's type) is sending emails in bulk at that time.

The mails that get stuck in the outbox, are they all to the same domain?

Our email is on an external service. We do not send bulk mail from it. And the emails are to different domains.

Did you contact the external service provider with your issue?

You could also see if you can send using a different relay ip, provided by the service provider. Suspect that there may be a communication issue between your user pc's and the external server.

I have not contacted the external provider. The interesting thing is that if I close outlook, wait about 5 seconds, then restart, the emails are sent as soon as the send kicks in. Once in awhile, I have to close outlook and kill outlook.exe in task manager.

The issue is intermittent- it happens at random times for different users.

Check if a program is holding Outlook.exe up and not allowing it to close

Sometimes when Outlook communicates with the external server and does not get to tranfer the emails correctly due to some reason, what you state can happen.

It can happen due to what war1 mentioned as well.

Since this effects all users, randomly there has to be a common program or external factor causing this.

Do any of your users have outlook configured for their webmail accounts on yahoo or gmail? Using POP? If they do not have an issue with sending and recieving - the cause could be external.

The users that it happens to the most only have POP accounts set up for our domain.

I suspect its something with either our external mail server, or the AV program that scans inbound/outbound emails. We use Symantec Corporate v9.

I am hesitant, though, to disable email scanning for anyone, but I may have to try it with the users that are seeing this issue frequently.

ron_finnerty,

Did you check the list of programs that may be preventing Outlook.exe from closing? If the problem program is not listed, the list may jog your memory to the one that is causing the problem.

In Outlook, when the app gets stuck - just see if you can see what type of error is being given in the task pane. Let us know what you see.

was this ever resolved? i am having the same issue with a few outlook users in our office. we are using outlook to access our google apps email. closing out and reopening seems to clear it up, when sending it seems to be stuck processing forever.
