Exchange mailbox administration

I am running Windows SBS 2003 and exchange 2003. I am trying to get my head around exchange mailbox sizes and how they can be reduced, increased and extracted.

I know how to set an individual users storage limit but am looking for a tool that extracts the contents of a mailbox into a pst and then clears that space from the users exchange mailbox?

Any help or guidence on how to deal with exchange mailboxes would be very much appreciated

You probably know about ExMerge; that will extract mailbox into pst....among other things.

How many users? What range of mb sizes do you have now?  Have you set registry settings to allow Info store to go to 75 GB?

Are you trying to manage mailbox sizes for users?  It's a losing battle.  You cannot make the "right" decisions for your users.  They need to participate.

You can set storage limits and/or extract and clear email based on age.  But you need management support for such policies.  This usually boils down to how much do you want to spend for file storage and backup technology.

It sounds like you need to implement a proper Retention/Archive policy:
