Ideas for implementing a mail customer service

I would be interested in knowing possible tech ideas in how to implement a mail customer service. That is, i would need a common email account or accounts which would be used for receiving customer orders. This could be a common mail which would be reachable for some users. My concern is what would be the best way of managing that for avoiding to put in the system twice or three times the same order...etc...Any idea about an IT interesting tool?
