Hi Experts,

How do I create the following two outlook search folders
•      View all mails that are sent from people outside my company, so with email address not containing mycompany.com
•      View all mails from people not a selected exchange distribution list, e.g. from anyone outside my own team

I haven’t been able to find search criteria’s that achieve this

Thank you in advance

Create a new folder called Internal MAIL

Click tools
Rules and alerts
New rule
Select with specified words in the senders address (enter company name)
Select to move to specified folder click finish

Next rule create a folder called External Mail

Select anything like through the specified account and select your account
click to move to specified folder
click next
click EXCEPT with specified words in the senders address (enter company name)
Click finish

you can create rule for that in outlook.

Hi Firojkhan,

View all mails that are sent from people outside my company, so with email address not containing mycompany.com.   I need for all users (external users sending email to my inbox)

View all mails from people not a selected exchange distribution list, e.g. from anyone outside my own team. I need for both cases(internal users from any internal DL or internal team)

Thanks for the update, but the user's mailbox is on an Exchange 2003 server

you are exploring many thing one by one only :).
If your mail routing is configured by HUB server then no matter where mailbox is lying nonetheless you may create transport rule for the same. here you are creating rules form incoming mails only not for destination.

also if you are using any gateway then you may create rule there to copy external mail to specific address.
