Notes Error - You must be in Edit Mode to change the value of a field

One of my users is getting the subject error whenever he hits more--> preferences,

I have already tried the fixup, compact, updall maintenance task, the problem still persists

Could it be that he's not the owner of the mail database, either in the ACL or in the Preferences?
I agree with sjef bosman, preference documents usually open fine in edit mode, their display is actually always the edit mode, but when a user doesn't have enough rights he won't be able to "edit" and thus might get this error message

the user have got managers access rights on the database
then I would recommend trying to get rid of the profile (preferences document) somehow, either with a paid tool NoteMan or by writing an agent with LotusScript and database.GetProfileDocCollection and then loop through and remove the one which is creating problems.

actually: are we talking about the mail database? or is it another custom db? cause.. it might also be that the document is trying to access another database where the user does not have enough rights, a bit far fetched… but it could be
Did you also try to replace the current template with the same one? In R7 or R6 it is File/Database/Replace design (NOT Refresh!), then select the mail template you want from the server.

- Did you try the old days way by trying to access the " preferences" on the database of  the user on the Lotus Domino server it self ??? Is the problem still existing ????
* if there is no problem on the server side I recommend you to :
     - Uninstall the Lotus Notes client
     - delete the Lotus Notes folder from the PC
     -  Make  a fresh installation of the Lotus Notes client on the PC

- What is the Lotus Notes version you are using ????

The has been upgrade recently from 7.x to R8.5, whenever he hits More --> preferences, he gets the subject error and after that he could not change any of his preferences, after closing the preferences windows he get another error “document command not available”

I (with full access) opened his mail file and tried the same but got the same error.

None of the other users get this error, neither do I when I perform the same action on my mail file.

I replaced his mail file design, ran compact with –c and then updall with –R, the problem still persists

I am sure of one thing, this has to do something with the design elements

I fully agree with you, that's why I don't really understand that a File/Application/Replace Design didn't help...

More suggestions:
1. make a local replica of the database, and try to change the preferences
2. do a Replace design on the local replica, and try to change the preferences
3. try to change the preferences using Tools/Preferences
4. replace the design with an R7 mail template, and test
didnt work, maybe something in the design is locked

I know if i created new file and simply copy the documents over, this problem will be resolved, but this will result in read/unread documents
You could:
- download NotesPeek, start it, open the mail database and analyse the Profile documents
- open the design of the database, remove ALL forms, sub-forms and shared fields, then do a Replace Design
