Outlook 2010 not automatically updating shared calendars

The receptionist at this company has access to everyone's calendars in the building. When she recieves a phone call for a meeting, she can schedule a meeting for anybody. After she does this the appointment does not update to the end users calendar and likewise another person who views these calendars cannot see the appt. If she hits the update folder button the appt then does update as it should, just not automatically.

Any suggestions?
