Email for before Beta testing with Office 2010

Just to compare notes ..Does anyone have you have a copy of an email that they have sent out to Beta Users before testing Office 2010? Just to give everyone some background we are testing with about 50 users that have 2003 already.

We had some really cool announcements come out of our Professional Developers Conference (PDC) last week. The first is the availability of the Office 2010 Beta. All,

IT would like to thank you for volunteering your time to beta test Office 2010 Standard. Your cooperation with the testing is greatly appreciated. Without your help, many problems could go unknown when the deployment stage is reached.

For the installation of Office 2010, deployment will begin on in the afternoon on Thursday, March 10th and will be ending on Tuesday, March 15th. This installation package will include Excel, Word, PowerPoint, Publisher, and Outlook. The previous versions of Office will be left untouched except for Outlook. We will be sending an email out 30 minutes before each group of deployment to inform you that installation will be taking place. After the installation package is installed, please confirm the install by opening all applications. It is very imperative if you experience any errors during this installation process please email me directly.

Please be aware there are risks that involved with this testing. These risks include:

-   The advanced functionality of Office 2010 may create documents not compatible with older versions. This can leave co-workers unable to use the documents.
-  There is also a chance that a user will overwrite older versions of documents with the newer versions, leaving older office version users unable to open the document until they are converted back.
-  When opening an older file, it may try to open an older version of Office. Because of this, we want you to understand that you should be using Office 2010 applications, like Word 2010 or Excel 2010. This is identified by the ribbon at the top left with an orange ‘File’ button. There is no circular Windows button like Office 2007.

These scenarios are unlikely to occur because you will be running both versions of Office, but you as a tester need to be aware of these issues to minimize the risks.

Because of these risks, please make sure you create backups of your important documents that are critical to your job function. This will ensure that you have something to fall back to in case corruption of a file occurs that needs to be undone.

During this testing phase we encourage that all work should be done in Office 2010 applications. The goal with testing is to make sure all of the features in 2010 are valid and operational in the working environment. Please understand that if there is a problem and work needs to be completed ASAP, you can go back to an older version. It is very important that you document the issue during this time so we can identify the proper remediation steps for your department.

In order to ensure complete communication throughout this testing, IT will be holding weekly meetings with everyone that is testing. Also, IT has created a SharePoint Site for everyone to document their issues. Please reference the attached document as it includes instructions on how to login and access this discussion field.
