OST file size not reducing after deleting some mails from the exchange mailbox

HI,

We are using exchange 2007 server with symantec vault 9.0 as archival solution. Now we enabled archival for some mailbox and it is working fine. But in the outlook profile, the size of .OST file is not reducing. How It can be reduced to the size of the mailbox.

For eg: I had 3GB of data in my mailbox and the .OST file size also the same. Now after archiving, the mailbox size reduced to 512MB, but still the .OST file size is showing 3GB. this is for all mailbox is same. I deleted .OST and opened outlook again, at that time it created 512MB OST file. Any other way can we find to reduce .OST without deleting and recreating the OST file.

Well, considering an OST is an offline copy of your mailbox, I think that it's correct that it won't be compacted. If you think about it, an OST file exists so that you can still access all of your emails if you lose access to your Exchange server. It doesn't matter whether you're using an Exchange archival solution or not. The OST file is a cached copy of a users email.

Though I am not aware of any way of forcing this to be automatically done for all your users.

OST and PST files, like many database files, do not reduce in size when you remove data from them. All that happens is that the "pages" within the database are removed or tagged so they can be over written. Compacting the database will physically remove tagged/deleted "pages" and this skrink the "size on disk" for the database file.

I think I need to correct myself.

According to this technote http://support.microsoft.com/kb/289987/en-us Outlook will compact the OST in the background of the computer is left idle. This post by someone else who was skeptical confirms it does actually work http://www.symantec.com/connect/blogs/growth-and-shrinking-ost-file

I agree that the OST can be compacted, but the emails surely aren't being removed from the users account even if they are archived - hence they will (should) still appear in the OST file? The whole point of Exchange archiving solutions is to take the emails out of Exchange and leave speacial headers in place, so that when a user wants to open that email, it is retrieved from the archive on the fly. That obviously cannot happen if a user is not connected to the network, and so the OST file will contain a full cached copy of all of the users emails.

@roybridge if you re-read the authors post the emails are being removed from the users mailbox/account by symantec vault 9.0.

The post says that the emails are being archived - not removed. Therefore, these archived emails should still be accessible by the user...
